Looking for a Workplace Events Program Specialist to oversee and manage our growing events program in Tempe. Reporting to the Global Workplace Program Manager, you’ll play a key role in making our Tempe office a central hub for events. Your responsibilities will include space planning, vendor management, and providing excellent customer support. We're seeking someone who is highly organized, can juggle multiple tasks, and approaches every project with enthusiasm, no matter how big or small. Strong communication skills and the ability to work well with diverse teams are crucial.


Responsibilities:

  • Ensure Smooth Event Execution: You’ll manage all aspects of event planning and execution under our "Events as a Service" program, including coordinating space, managing vendors, and supporting participants. You’ll also help make our flagship events a success.
  • Implement a Global Events Model: You’ll maintain consistency and efficiency in how events are executed across all locations, ensuring participants have a seamless experience.
  • Optimize Event Spaces: You’ll assist the Global Workplace Events Program Manager in making the best use of event spaces, ensuring they are well-equipped and ready for events.
  • Manage Vendor Relationships: You’ll work closely with the Program Manager to secure the best pricing from vendors like caterers and rental companies, partnering with procurement and other teams as needed.
  • Provide Customer Support: You’ll guide and support team leaders and onsite hosts to ensure events run smoothly and meet everyone’s needs.
  • Generate Event Reports: You’ll track and analyze event data to create detailed reports that help assess event success and highlight areas for improvement.


Qualifications:

  • 3+ years of recent experience in event planning.
  • Strong project or program management skills.
  • Experience managing vendors.
  • Proficiency with Google Suite, Slack, and Jira.
  • Ability to take ownership of projects and see them through from start to finish with minimal supervision.
  • Team player mindset with a focus on collaboration and achieving shared goals.
  • Commitment to continuous improvement and learning new skills.
  • Positive attitude and ability to stay organized and prepared, even with unexpected tasks.
