POSITION OVERVIEW

BIORAY is seeking a dynamic and experienced Executive Assistant to the CEO to join our team The Executive Assistant to the CEO will provide comprehensive administrative support to the CEO, ensuring smooth and efficient operations. This role requires exceptional organizational skills, a proactive approach, and the ability to handle sensitive information with the utmost discretion. The ideal candidate will be a strategic partner, capable of anticipating needs, managing priorities, and facilitating communication across the organization.


For the right individual, this role offers strong growth potential within the organization. This is a full-time (M-F), hourly position that resides in BIORAY’S corporate headquarters in Irvine, CA (not a remote or hybrid role). The base annual range for this role is between $90K and $100K depending on experience, skill sets, and capabilities.

JOB RESPONSIBILITIES

Executive Support:

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, presentations, and reports for meetings and briefings.
  • Screen and prioritize incoming communications, including emails and phone calls, ensuring timely and effective responses.

Meeting Coordination:

  • Coordinate and schedule internal and external meetings, including logistics, agendas, and follow-up actions.
  • Take and distribute minutes for meetings as required.
  • Prepare briefing materials and background information for meetings and events.

Project Management:

  • Assist with special projects and initiatives as directed by the CEO.
  • Track project progress and deadlines, ensuring timely completion of tasks.
  • Collaborate with various departments to gather information and resources necessary for project execution.

Communication:

  • Serve as a liaison between the CEO and other stakeholders, including employees, clients, and board members.
  • Draft, proofread, and edit correspondence, reports, and other documents.
  • Maintain a high level of professionalism and confidentiality in all communications.

Administrative Duties:

  • Oversee office supplies and inventory management.
  • Coordinate and handle expense reports, invoices, and budget tracking for the CEO.
  • Implement and maintain efficient office systems and processes.

Travel and Event Coordination:

  • Arrange travel logistics for the CEO, including flights, accommodations, and transportation.
  • Organize and coordinate company events, conferences, and executive functions.
  • Report on key performance metrics and provide insights to senior management.


QUALIFICATIONS

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Experience: Minimum of 5 years of experience as an executive assistant or in a similar role supporting senior executives.In-depth understanding of the marketing process and project management skills.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Exceptional organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Excellent problem-solving skills and attention to detail.


COMPENSATION & BENEFITS

  • Base salary is between $90,000 and $100,000 (position based in Irvine, CA)
