About the Role -

Responsibilities:

  • Assist and support and Director of Events in day to day tasks
  • Ensure all large party, meeting and event requests are responded to in a timely manner

Specific Accountabilities:

  • Monitor event needs before, during and after events + assist Director of Events in the same
  • Liaise and coordinate with the Chester, Rooftop, C+C and Saishin managing staff prior to events and large reservation parties
  • Participate in weekly meetings with Director of Events to review current and following week events to ensure proper setup, staffing and preparation.
  • Liaise with chef and banquet staff to successfully execute catered meetings and events
  • Produce proposals and BEOs based on menus and rates provided by the Director of Events in Tripleseat
  • Make necessary revisions to Event proposals, BEOs and Contracts in Tripleseat
  • Maintain and manage event BEOS, timelines and proposals within Tripleseat and communicate to guest services team to block off spaces when necessary
  • Conduct site visits and record clients’ needs and expectations
  • Meet with clients for walk throughs prior to event date, record all needs and communicate to appropriate team members
  • Assist in sourcing rentals and additional equipment when necessary
  • Oversee the setting up and tearing down of event
  • Assist in organizing AV, necessary materials and props for events and meetings
  • Connect with appropriate teams to ensure successful setup and execution of event (F&B, Kitchen, AV, Engineering, Housekeeping) and make sure all events are communicated to the hotel operations teams.
  • Liase with Director of Events and Sales Teams to quote, produce and execute events attached to Hotel Groups, Corporates and VIPS
  • Meet weekly with Director or Events and events team to discuss sales goals, strategy and current event calendar
  • Strive to meet sales goals provided by Director or Events
  • Maintain positive relationships with current clients and consistent outreach to capture new business

Required Skills/Qualifications:

  • College Degree preferred
  • Proven customer service experience
  • Customer Service Skills and Communication Skills. Good listening skills.
  • English language fluency both speaking and writing.
  • Attention to detail and organizational skills.
  • Ability to multitask and prioritize.
  • Ability to function in a noisy, hectic and crowed environment.
  • Ability to remain calm under pressure. Ability to handle guests’ complaints.
  • Responsible & trustworthy.
  • Teamwork.
  • Flexible to work schedules to include morning/evenings/night, as well as weekends and holidays.
  • Being a team player and ability to successfully pass on information from one team member to another.

Physical Requirements:

  • Must be able to be standing/mobile/stationary for at least 7 hours a day.
  • Periodically fast paced strides are required to go from one part of property to other.
  • Must regularly lift/carry/move 30 pounds of force.
  • Must be able to seize, grasp, turn and hold objects with hands.
