Responsibilities

  • Cultivate and nurture a positive, welcoming, and employee-centric company culture
  • Liaise with onsite, Austin-based, remote, and globally distributed teams to offer essential support and address inquiries
  • Execute receptionist responsibilities, including welcoming visitors and managing outbound and inbound mail and deliveries
  • Manage day-to-day office operations, including supply orders, vendor relationships, canteen purchases, and the maintenance of office and kitchen equipment to uphold workspace orderliness
  • Perform various administrative duties, including document preparation, scheduling, and data entry
  • Facilitate internal communications by disseminating company-wide announcements and updates
  • Assist HR with employment-related activities, including hiring, onboarding, and offboarding processes
  • Assist with travel arrangements and logistical needs for traveling employees when necessary
  • Collaborate on organizing enjoyable events such as regular happy hours and team and company-wide gatherings
  • Supervise building access and security systems, ensuring proper management of access for both employees and visitors as needed
  • Support Finance team processes, including budgeting, invoice processing, and expense reconciliations
  • Plan and coordinate facility maintenance and manage the company vehicle fleet
  • Collaborate on minor office renovation and space planning initiatives with internal and external stakeholders
  • Assist in enforcing office policies and procedures
  • Fulfill any additional duties as assigned


Qualifications


  • A minimum of an Associate degree in office administration or a related field is a must; a Bachelor’s degree in Business Administration, Management, or a related field is preferred
  • 2-4 years of administrative and office management experience is required
  • Experience in finding and maintaining business relationships with external vendors
  • Experience working in a global start-up environment is a big plus
  • Ability to understand and apply company policies and ensure adherence
  • Exceptional interpersonal skills
  • Excellent verbal and written communication skills with the ability to convey information clearly and concisely
  • Excellent organizational and time management skills, and ability to multi-task and prioritize work
  • Experience working with G-Suite and Microsoft Office
  • Must have exceptional attention to detail
  • Should demonstrate self-motivation and a proactive approach to achieving desired outcomes.
  • Work hours: 8:00 am-5:00 pm, 5 days a week from the office in Riviera Beach, FL

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
