This position assists in overseeing Front Office Operations and Performs the Manager on Duty functions and coordinates with all departments that impact the guest experience and safety. Is accountable for staffing, training, counseling, scheduling, evaluating, mentoring and coaching all front desk staff. Directly accountable for Front Office RCI scores for Check In / Check out. Must be able to work Evenings, Weekends and Holidays.

The Assistant Front Desk Manager on Duty will report directly to the Front Desk Manager.

Core responsibilities include the following, but are not limited to:

This position assists in overseeing Front Office Operations and performs the Manager on Duty functions and coordinates with all departments that impact the guest experience and safety. Is accountable for training, mentoring and coaching all front desk staff. Directly accountable for Front Office RCI scores for Check In / Check out.

Specific Responsibilities:

Always Ensures Outstanding customer care & maintains a friendly, professional, cheerful and courteous demeanor always

  • Monitor activities of all employees in the Front Office department making sure they adhere the Resort Gold Crown standards and to the guidelines set in the employee handbook, Resort policies and procedures, coaching, training, and correcting where needed.
  • Upholds the Resort’s commitment to hospitality.
  • Always maintain a professional and high-quality service-oriented environment, ensuring that employees are always attentive, friendly, helpful and courteous to all guests, managers and other employees.
  • Resolves complaints, problem solving, disturbances, special requests and any other issues that may arise quickly, efficiently, and courteously.
  • Trains, cross-trains, and retrains all Front desk agents, night audit & bellmen personnel.
  • Trains and must be able to perform all functions of Night Audit and cover shifts if necessary.
  • Oversees workload during shifts. Actively works at front desk to cover any shifts or employee breaks.
  • Maintains working relationships and communicates with all departments.
  • Monitor cash handling and issues change to front desk staff and guests.
  • Performs Night Audit functions on days scheduled to work as Night Auditor.
  • Walks property and works closely with Housekeeping and Engineering to improve guest services and fosters interdepartmental communication, ensure overall cleanliness of units and weekly PM room project completion.
  • Verifies that accurate room status information is maintained and properly communicated.
  • Be aware and able to enforce all fire-life-safety procedures. Remain current in all updates with regards to new procedures and training. Ensure staff is fully trained in emergency procedures. This position is a member of the Resort’s emergency response team.
  • Documents guest incident reports and completes follow ups.
  • Assist Front Desk Manager with conducting regularly scheduled meetings of Front Office personnel, keeping staff informed of all activities in the resort, reinforcing standards of Excellence and promoting a strong team atmosphere and culture.
  • Inform all Front Office staff of daily activities, group and VIP arrivals as well as special requests and repeat guests. Check accommodations, making sure any special requests are carried out accordingly.
  • Monitor and maintain the required stationary supplies of all Front Office.
  • Review daily Front Office work and activity reports generated by Night Audit.
  • Monitor and maintain front office computer equipment to ensure it’s working properly. Monitor room interfaces to ensure they are online and working properly.
  • Assist Front Desk Manager with maintain an organized and comprehensive filing system of guest making it right tracking logs, early departures, wake up calls.
  • Keep Front Desk Manager informed of all challenges and changes in the departments, or any out of the ordinary situations.
  • Assists all departments in servicing the guests, especially during high volume periods.
  • Attends meetings as required
  • Performs other duties as assigned, requested or deemed necessary by management
