Executive Support

  • Proactively manage the CEO's inbox, calendar, and Slack to prioritize tasks and optimize the CEO's schedule.
  • Responsible for project management and maintaining task lists.
  • Serves as a "gatekeeper" for the CEO, acting as a conduit for smooth communication between the CEO's office and internal departments as well as external partners and vendors.
  • Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.

Meeting preparation and research:

You will be responsible for providing research and insight for all CEO meetings as well as ensuring that all internal meetings have a defined agenda and objectives.


  • Arranges complex and detailed travel plans, itineraries, and agendas, and compiles documents for related meetings.
  • Create SOPs and systems to ensure tasks are completed on time and efficiently.
  • This role requires discretion, strong communication skills, and the ability to make decisions on behalf of the CEO.
  • Serve as a member of the senior management team, participating in the development of organizational plans and coordinating with other members in specific functional areas.
  • Responsibility may include limited personal assistance: scheduling doctor appointments, making dinner arrangements, and running errands as the calendar allows. Office Manager
  • Manage day-to-day office operations, including HR administration (payroll), accounts receivable/payable, and supply stocking.
  • Organize mail, manage office inventory, and oversee facility improvements.
  • Run errands as needed.
  • Organize office workflow by scheduling and coordinating staff, communicating essential information, and planning meetings and events with internal and external parties.
  • Develop, implement, and document administrative systems.
  • Assist with bookkeeping tasks such as expense management, payment processing, and invoicing. Other duties as assigned.

Qualifications:

  • High school diploma or equivalent
  • 2+ years of Executive Support; 3+ years of Administrative support
  • Team Player
  • Balancing multiple priorities at a time.
  • Demonstrated proactive approach to problem-solving with strong decision-making capability.
  • Forward-looking thinker who actively seeks opportunities and proposes solutions.
  • Highly resourceful, with the ability to work independently effectively.
  • Property Management experience is a plus.
  • Proficiency in Google Suite, Asana, Slack, Nordpass, Zoom, Podio, Salesforce, Ring Central, and DocuSign.
  • Excellent command of the English language, both spoken and written

Compensation:
$60,000 yearly
