Role Overview:

In the capacity of Senior Executive Assistant, you will play a pivotal role in supporting our executive leadership. This position requires a highly organized, self-motivated professional who can adeptly manage a variety of tasks while upholding confidentiality. Your duties will include overseeing executive schedules, arranging travel, coordinating meetings, and performing various administrative tasks.

Key Responsibilities:

Executive Support:

  • Oversee intricate calendars, prioritize meetings, and arrange travel logistics, including accommodations and itineraries for senior leaders.
  • Timely preparation and submission of accurate expense reports.
  • Draft, revise, and manage correspondence, reports, presentations, and other documentation, including the creation of PowerPoint presentations as required.
  • Handle sensitive information with the highest level of discretion and integrity.

Office Management:

  • Act as the primary contact for office visitors, providing a warm welcome and appropriate introductions.
  • Ensure the office and kitchen supplies are well-stocked and organized.
  • Manage all incoming and outgoing correspondence, including postal and courier services.
  • Provide notary services as necessary.

Meeting and Event Management:

  • Plan and organize meetings, including agenda preparation, venue arrangements, and logistical support such as catering and audio-visual requirements.
  • Coordinate and facilitate company events, ensuring all aspects are managed effectively.
  • Assist with convenience services, such as ordering meals or refreshments during executive meetings.

Project Coordination:

  • Support the planning and execution of projects and initiatives within the organization, ensuring alignment with company objectives.
  • Collaborate with various departments to enhance workflow processes.

General Administrative Support:

  • Provide comprehensive administrative assistance to ensure the smooth operation of the office and executive team.

Communication Duties:

  • Screen incoming calls, manage mail, and summarize reports and memos for senior leadership.
  • Prepare executive presentations, compile data for reports, and conduct data analysis as needed.

Qualifications:

Education and Experience:

  • High School Diploma or GED required; an associate or bachelor's degree is preferred.
  • A minimum of 8 years of experience in executive-level support roles.
  • Demonstrated experience in organizing office events and large meetings.

Skills and Attributes:

  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional written and verbal communication abilities.
  • Strong project management skills with the capacity to manage multiple priorities.
  • High degree of professionalism, confidentiality, and discretion.
  • Excellent organizational skills with a keen eye for detail.

Additional Considerations:

  • Current Notary certification is preferred.
  • Familiarity with Microsoft 365 tools, including Teams, SharePoint, and OneDrive, is advantageous.
  • Able to work collaboratively in a team environment and build strong relationships with senior management and external partners.
