WE ARE LOOKING FOR AN ADMINISTRATIVE ASSISTANT

ROLE POSITIONING AND OBJECTIVES

Reports to: VP Manufacturing

Core Relationships: Internal – ROC LT

Geographic Scope: Local

WHAT YOU WILL BE ACCOUNTABLE FOR

  • Provide calendar management for the coordination of meetings for VP, Operations, and direct reports. Interact with internal and external executives and executive assistants, as well as consultants/vendors.
  • Maintain executive office files and records; interpret and explain departmental procedures and executives' requests in response to requests or refer inquiries, as appropriate.
  • Make travel arrangements (domestic & international) within company policy for assigned leaders and support for visitors, as needed.
  • Includes: booking air, car and hotel; reserving offices/meeting rooms; generating itinerary with all contact numbers and information and attaches vital documentation needed for trip; updates calendar with all information.
  • Create, update, and submit expense reports in a timely manner, when requested.
  • Copy/distribute documents as needed; open and distribute mail; process overnight deliveries.
  • Prepare and edit presentations in PowerPoint and facilitates the sharing of presentations during meetings, as requested.
  • Represent the Company in a positive, friendly, and professional manner to both internal and external contacts; receive and direct visitors in a professional manner.
  • Independently perform confidential office/administrative duties with speed, accuracy, and a positive cheerful attitude; build and maintain the highest levels of confidentiality when dealing with proprietary information
  • Collaborate with other executive assistants to identify "best practices" and a consistent approach to cross department functions.

ESSENTIAL EXPERIENCE, SKILLS, AND KNOWLEDGE

  • Proven experience of at least 5 years in administrative matters.
  • Excellent organizational skills with the ability to adapt to change quickly and multi-task assignments.
  • Ability to work independently in a fast-paced environment.
  • Ability to work a flexible schedule when workloads and deadlines require.
  • Excellent Communication skills.
  • Proven understanding of Microsoft applications (Word, PowerPoint, Excel).
  • Strong problem analysis and problem-solving skills
  • Excellent verbal and written communication skills.
  • Bachelor's degree or High School diploma with equivalent experience as executive administrative assistant.
