GENERAL STATEMENT OF DUTIES
Performs a variety of essential administrative legal support tasks independently, adhering to established practices and procedures.

SUPERVISION RECEIVED
Operates under the guidance of a Legal Assistant Supervisor, who assigns tasks, sets objectives, and reviews work for accuracy and compliance with departmental policies.

SUPERVISION EXERCISED
This position does not involve supervising other employees.
Typical Duties: Responsibilities include, but are not limited to:
  • Preparing discovery materials for Grand Jury recordation in both electronic and hard copy formats.
  • Filing indictments electronically.
  • Preparing and uploading electronic discovery to the e-prosecutor portal.
  • Processing evidence requests and downloading digital evidence, including copying various media formats.
  • Monitoring discovery tasks and managing discovery-related communications.
  • Assigning and resetting access for defense attorneys and addressing eDiscovery portal inquiries.
  • Notifying defense attorneys of additional materials and handling telephone inquiries.
  • Scanning reports/documents and preparing electronic discovery packets.
  • Operating office equipment such as copiers, scanners, and computers.
  • Updating case statuses, court events, and other necessary information daily.
  • Closing out cases by verifying information with court records.
  • Sending copies of judgments to relevant agencies.
  • Performing miscellaneous tasks to support the team, including filing and processing mail.
  • Providing backup support to other legal staff as needed.
  • Managing requests for files and warrants.
  • Participating in special projects as assigned.
Requirements for the Position

EXPERIENCE AND TRAINING
  1. High school diploma or equivalent; AND
  2. Two years of experience in office and secretarial work; OR
  3. A satisfactory combination of work, education, training, or experience relevant to the position.
PREFERENCES
  • Supplemental training in secretarial skills.
SPECIAL REQUIREMENTS
  1. Must obtain Law Enforcement Data System (LEDS) certification within 30 days of hire.
  2. Must pass a criminal history background check, including fingerprinting.
  3. This is a safety-sensitive position requiring a pre-employment drug screening.
  4. This position is represented by a union.
  5. Typical work schedule: Monday through Friday, with flexibility based on departmental needs.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of modern office practices, procedures, and techniques; proficiency in English composition, spelling, and grammar; basic arithmetic and record-keeping practices; familiarity with various office equipment and software.

Skills and abilities to accurately perform assigned tasks; provide courteous assistance to the public and staff; handle sensitive and confidential matters with discretion; follow oral and written instructions; adapt to new procedures; type accurately; and support other positions as needed.

PUBLIC SERVICE LOAN FORGIVENESS
Marion County qualifies for the Public Service Loan Forgiveness Program, allowing full-time employees to potentially qualify for loan forgiveness after 120 qualifying payments.
