Job Description You will serve as the Executive Assistant to site manager. We are seeking a highly motivated Executive Administrator to provide support to the Aiken site and other leadership team members as needed. The position requires executive communication skills, strong collaboration, a high level of judgement, strong organizational skills, tremendous attention to detail and the ability to meet tight deadlines while balancing multiple priorities. This position requires a high level of integrity and discretion in handling sensitive information. This role will also operate as part of a highly collaborative administrative team, ensuring seamless leadership team coverage and support as required. You will be the primary Point of Contact (POC) for the office and provide administrative support by performing a variety of complex and routine administrative duties in compliance with written and oral guidance and policies.

Responsibilities include, but are not limited to:
  • Organizational skills – ability to prioritize tasks, manage calendars, schedules and keep track of documentation (filing – electronically)
  • Proficient with office software such as Microsoft Office Suite and email protocol, web-based applications and business processes and the use of office equipment
  • Communication skills – ability to communicate effectively with all levels of employees, internal and external customers, with clear and concise command of grammar.
  • Sound interpersonal skills and ability to develop and maintain relationships.
  • Adaptable in handling multiple tasks and customers without compromising quality, operating independently using judgment and time management.
  • Timeliness, accuracy, and attention to detail – approaching tasks from start to finish with proficiency, such as data entry and proofreading documents.
  • Plan and manage internal and external events and provide hospitality.
  • Maintain and order office, coffee, water supplies and/or arrange catering.
  • Coordinating all travel arrangements, ensuring seamless travel for the team. Your attention to detail will ensure every trip is a success.
  • Meeting Management: Keep meetings running like clockwork by preparing materials, coordinating logistics, and ensuring all participants are well-prepared and engaged.
  • Hands-On Assistance: Be the Director's right-hand person, managing emails and communications with finesse and professionalism.
  • Relationship Building: Interact with stakeholders at all levels, building strong relationships and representing the organization with integrity and professionalism.
  • Compile different information and reports and convert them to central file and be able to produce charts and graphs to assist with plant-wide communication.
Required Education, Experience, & Skills
  • High School Diploma with 3 years of office administration/clerical.
  • Excellent written, oral, and interpersonal communication skills. Prior experience providing administrative support to senior leader.
  • Excellent organizational skills, ability to establish and maintain working relationships with internal and external staff members, and the ability to work independently and take a proactive role.
  • Flexibility and ability to prioritize tasks according to senior staff requirements.
  • Proven proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and SharePoint
  • A true team player who maintains a positive attitude in a dynamic environment
  • High energy, enthusiasm, tact, ability to interact effectively with cross-functional teams.
  • Ability to create and foster a cooperative work environment.
  • Self-directed, detail oriented in completing assigned tasks, able to adapt to changing work efforts and manage impact of shifting priorities.
  • Exerts normal physical energy associated mostly with sitting and may occasionally stand or walk to perform the work of the position.
  • May lift light office supplies weighing up to 15 pounds and/or operate technical equipment such
  • as computers and peripherals.
Preferred Education, Experience, & Skills
  • Associates degree.
  • Proficiency with travel software Concur.
  • Working Knowledge of Purchasing/expense software - Coupa
  • Strong experience with arranging travel.
  • 6+ years of experience performing administrative duties, customer service experience a plus.
Pay Information
Full-Time Salary Range: $ $76600

Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
