Overview

The role involves managing office operations for a designated manager or team, alongside performing specific tasks related to document management and record keeping. You will work from established office protocols and administrative guidelines, with management support readily available.

Key Responsibilities

  • Execute administrative tasks including specialized typing, sorting, filing, and processing a variety of documents.
  • Develop documents using Microsoft Office applications such as Excel, Word, and PowerPoint.
  • Gain proficiency in various applications relevant to the operations of E2 Consulting Engineers.
  • Utilize computer systems to research, input, modify data, and manipulate software for optimal outcomes.
  • Generate and type various correspondences, manage incoming mail, and distribute information appropriately.
  • Create and maintain filing systems and logs, and prepare reports and statistical data.
  • Manage phone communications, including screening and routing calls, and addressing basic inquiries.
  • Organize and maintain calendars for managers or teams, including travel arrangements.
  • Compile and prepare confidential reports and correspondence related to personnel, budgets, and expenses.
  • Mentor less experienced staff and guide them on standard procedures and practices.
  • Operate various office equipment, including computers, fax machines, copiers, and scanners.
  • Welcome and assist visitors, ensuring a professional and hospitable environment.
  • Foster positive working relationships with internal and external stakeholders.
  • For roles focused on reproduction tasks, set up and operate various reproduction and finishing equipment.
  • Physically manage the handling of large paper rolls and operate binding and finishing machines.
  • Ensure quality control by checking work processes and maintaining production standards.
  • Manage inventory of office supplies and equipment.
  • Assess workloads to determine the most efficient solutions.
  • Follow standard procedures and reproduction orders as directed by supervisors.
  • Utilize electronic files for reproduction tasks as needed.

Qualifications

Education: High school diploma or GED is required.

Experience/Skills:

  • Minimum of three years of relevant administrative experience.
  • Basic knowledge of personal computers and commonly used software applications.
  • A related college degree may substitute for some experience.
  • Must be a US Citizen.
  • Ability to obtain Security Clearance is required.

Work Hours: This position typically requires a 40-hour work week, with various scheduling options available.
