Overview:

The Office Administration Specialist will be responsible for executing various administrative functions that support designated workgroups. This role involves managing office operations and performing specialized tasks such as document control and records management. The individual will work with established office procedures and will have access to management guidance when necessary.

Key Responsibilities:

  • Conduct administrative tasks including typing, indexing, sorting, and filing of a diverse range of documents.
  • Create and format documents using Microsoft Office Suite, including Excel, Word, and PowerPoint.
  • Demonstrate proficiency in applications relevant to office operations.
  • Utilize computer systems for data entry, modification, and research to achieve operational goals.
  • Draft and manage correspondence, as well as handle incoming and outgoing mail efficiently.
  • Maintain organized files and logs, and prepare reports as required.
  • Manage calendars and coordinate travel arrangements for management.
  • Compile and prepare confidential reports related to personnel, budget, and other sensitive information.
  • Assist junior staff members by providing guidance on administrative procedures.
  • Operate various office equipment, including computers, fax machines, and printers.
  • Welcome and assist visitors, ensuring a positive experience.
  • Establish and nurture professional relationships with internal and external stakeholders.
  • Oversee reproduction tasks, ensuring quality and adherence to production standards.
  • Maintain inventory of office supplies and manage stock levels.
  • Evaluate workload to determine the most efficient methods for task completion.
  • Utilize electronic files for reproduction tasks as necessary.

Qualifications:

Education and Experience:

  1. A minimum of three years of experience in administrative roles.
  2. Familiarity with personal computers and commonly used software applications.
  3. Experience in data analytics is preferred.
