The Role

We are seeking a multifaceted, proactive, and highly motivated Work Life and Culture (WLC) Coordinator to join our team. This is a key role in our WLC team and requires excellent analytical and problem-solving skills, solid communication skills, and a detail-oriented mindset. As our Coordinator, you will be responsible for providing operational excellence through all aspects of the employee lifecycle. To succeed in this role you should be comfortable managing multiple parallel projects, able to thrive and maintain a positive attitude in a very fast-paced environment, and able to handle highly confidential information with the utmost discretion and reliability. The ideal candidate will be curious and challenge the status quo, while being passionate about mastering a wide variety of WLC tasks with exposure to multiple facets within WLC and eager to grow. The WLC Coordinator will work cross-functionally with multiple teams including Legal, Finance, Marketing, and Operational Excellence and will report directly to the Director, WLC Operations.

Responsibilities

This role will perform a broad range of duties for the Work Life and Culture team at ITHAKA. Provide general HR support, administer policies, procedures, and programs related to all aspects of HR activity. Organize, update, and maintain employee files. Prep and manage HR documents and perform data entry for the HRIS system software. Bring operational excellence to all aspects of WLC work and partner closely with the WLC Business Systems Analyst to ensure data integrity. Document workflows and automate WLC processes.

  • Provide onboarding support for new employees.
  • Assist with employee recordkeeping.
  • Partner with the Talent Acquisition team to schedule candidate interviews and conduct weekly job post audits.
  • Continuously review WLC processes and the employee experience to ensure efficiency through process improvement recommendations and changes.
  • Assist in creating and maintaining Knowledge Base articles to organize job aids and how-to documents for internal processes.
  • Handle employment related inquiries, referring complex and/or sensitive matters to the appropriate staff.
  • Oversee invoicing, allocation, and payments for the WLC department.
  • Manage contracts through Conga, ITHAKA's contract keeping system.
  • Implement and maintain Freshservice or similar internal ticketing system to automate workflows and gather #evidence.
  • Maintain Compass or similar site for information sharing with employees. Work closely with content owners to ensure accurate information is available.

Experience and Skills

  • Ability to communicate effectively and maintain productive relationships with employees throughout the organization, including senior leadership
  • Previous experience with Human Resource Information Systems (HRIS)

Compensation and Benefits

At ITHAKA we believe in openness and equity. Part of living those values is our commitment to clarity about salary ranges, so candidates know what to expect. The starting salary for this position ranges from $50,000 to $57,500 per year. Starting pay may vary with job-related knowledge, skills, and experience. At present, our total compensation package for benefits-eligible employees includes medical, dental, and vision plans, an employer-paid 10% retirement contribution, paid parental and caregiver leave, 22 days of paid time off, 11 paid holidays, up to 12 sick days, wellness benefits, and more. Please note that ITHAKA, at its discretion, may make changes to its benefits programs from time to time.
