Job Description
Applied Systems, Inc., a worldwide leader in insurance technology, is currently searching for an Executive Assistant to the President. We are seeking an individual that is exceedingly well organized, proactive, collaborative, and passionate about being part of a team. You will be responsible for coordinating meetings internally and with important external stakeholders such as customers, board members and investors. The individual will also lead travel planning and be a partner in assuring the smooth operations of the President's office. In addition to supporting the President, you will provide support for key direct reports such as our Chief Legal Officer and various members of the finance team. You will be joining a team that is fast-paced, ambitious, highly supportive, and caring.
What You'll Do

  • Manage the calendar, prioritizing appointments, meetings, and travel arrangements.
  • Act as a gatekeeper, screening inquiries and meetings to ensure the President's time is used efficiently.
  • Organize and coordinate travel logistics, including flights, accommodations, and itineraries.
  • Manage expense reports for the President and direct reports (as needed).
  • Coordinate and plan large team events including Town Halls, Office Visits, Executive Strategy Sessions, and Customer Engagements

What You'll Need to Succeed
We're looking for someone who:

  • Will work primarily from our Applied Systems office in Chicago, IL (Likely 3 days per week in office, but with flexibility to do more / less in collaboration with President)

Your experience should include some or all the following:

  • Excellent calendar management skills, including the coordination of complex executive meetings and travel management.
  • Proven ability to interact with clients and staff at all organizational levels.
  • Prior senior executive level management assistant experience required.
  • Experience in developing and coordinating relationships with customers and vendors.
  • Proven ability to manage projects throughout all levels and departments of a company, as well as outside vendors and partners.
  • High level of professionalism and confidentiality
  • Excellent verbal and written communication skills
  • Exceptional organizational skills; detail oriented
  • Working knowledge of basic computer programs, including Microsoft Excel, Word, PowerPoint, and Outlook
  • Energetic, goal-oriented, team player with an excellent work ethic
  • Bachelor's degree from a four-year accredited college or extensive work experience in the Administrator field
