Summary

As the Student Affairs Assistant, you will report to the School of Public Health (SPH) Director of Student Affairs as a School-wide Student Affairs Team member. The SPH Student Affairs Team includes Recruitment/Admissions, Registrar/Records, Student Life, and the Careers Teams. Within this role, you will primarily support the SPH students, applicants, faculty, and staff with general inquiries and reception, yearly projects, office coordination and support, and event/programming and communications support. This position serves as a conduit between the Student Affairs Team, Educational Programs, and other departments and units within the school.

Responsibilities*

This position is responsible for administering student and prospective student services and providing staff/faculty support. This includes building community within SPH and the Office for Student Affairs, triaging community stakeholder inquiries to correct resources, and managing the office suites.

General Office Support -
  • Oversee the SPH Mainline phones and triage calls and voicemails and assist with application and prospective student questions accurately.
  • Hire, train, and supervise student employees; delegate daily/weekly tasks to support administrative activities effectively.
  • Manage inventory of supplies, staff computers, phone lines, and keys.
  • Manage the mailroom, coordinate daily outgoing and incoming mail distribution, and manage UPS accounts. Assist with FedEx, general mailers, and other distribution projects.
  • Maintain updated lists, directories, and email groups.
  • Financial responsibilities include creating purchase orders and ordering supplies, reconciling Pcard purchases, using Concur, and providing contract assistance via Procurement.
  • Assist with appointment calendaring and various other projects, and be responsible for other projects and duties as assigned.
Student Services, Programming, and Event Support -
  • Laptop loaner administration and connecting students to resources within the Office of Student Affairs and beyond.
  • Connecting prospective students and applicants to the correct contacts while providing accurate information regarding degree programs, application deadlines, and understanding the difference between Rackham and SPH programs.
  • Assisting students with accurate information regarding orientation, graduation applications, wayfinding, financial aid, confidential resources, and general information to successfully complete their degree.
  • Organizing files, folders, and electronic file maintenance under FERPA and other U-M SPH regulations. This includes utilizing Perceptive Content, MPathways, and other platforms for student administration.
  • Manage all aspects of event logistics, including but not limited to reservations for rooms/venues, catering, RSVP tracking, staffing, transportation, audio/visual services, and entertainment.
  • Deploy project management skills to bring creative student programming and events from concept to execution.
  • Track events budget, report any discrepancies to leadership, and provide budget projections when planning events.
Project Coordination -
  • Manage multiple projects, including reporting, data visualization, and benchmarking.
  • Coordinate annual reports for Student Affairs Units.
  • Ensure the website, wiki, and policies and procedures manuals are updated and correct.
Required Qualifications*
  • High School education or equivalent and two or more years of experience working in an administrative role.
  • Excellent interpersonal skills and ability to communicate with people from diverse backgrounds.
  • Ability to meet deadlines and prioritize appropriate tasks while handling various projects simultaneously.
  • Excellent accuracy and attention to detail while working in a fast-paced environment with frequent interruptions.
  • The ability to practice discretion when dealing with sensitive matters.
  • Customer service-oriented attitude, flexibility, and the ability to work independently while contributing to a collaborative team environment within and across offices/programs.
  • Proficiency with Google applications and Microsoft Office Suite, specifically in spreadsheets, databases, and/or data retrieval.
Work Schedule

Our SPH I building requires punctual, regular, and consistent on-site attendance. Standard work hours are from 8 a.m. to 5 p.m., Monday through Friday. There are limited occasions when you may be required to work during non-business hours and on weekends. There is the opportunity to have a flexible schedule in the summer.
