Position Summary: This role is pivotal in delivering comprehensive administrative support and project coordination for the CFO. The Executive Assistant is expected to uphold high standards of professionalism, efficiency, and discretion while exercising independent judgment. This position involves interaction with various internal and external stakeholders, including the Board of Directors, and requires handling sensitive matters under tight deadlines.

Key Responsibilities:

  • Oversee and manage the CFO's calendar, ensuring effective scheduling and prioritization of meetings and appointments.
  • Organize and facilitate meetings, including agenda preparation, minute-taking, tracking action items, and timely distribution of materials to relevant parties.
  • Prepare and submit documents for apostille certification, ensuring compliance with state and international regulations and liaising with appropriate authorities.
  • Authenticate signatures on legal documents, including contracts and affidavits, ensuring all documentation meets legal standards.
  • Process purchase orders and invoices, ensuring accurate and timely management of financial documents.
  • Conduct research, compile data, and create reports and presentations as required.
  • Assist in the preparation and coordination of board meetings, including logistical arrangements and material distribution.
  • Support board-related tasks and provide administrative assistance as needed.
  • Collaborate with the administrative team to support executive leadership initiatives.
  • Coordinate comprehensive travel itineraries for both domestic and international travel, including flights, accommodations, and transportation.
  • Manage passport and visa applications, ensuring all travel documentation is complete and accurate.
  • Reconcile travel-related expenses and manage expense reports efficiently.
  • Provide additional administrative support and project assistance as directed by the CFO.
  • Perform other duties as assigned.

Qualifications & Skills:

  • Bachelor's degree is preferred.
  • Previous experience supporting C-level executives is highly desirable.
  • Notary Public Certification is a plus.
  • Ability to maintain confidentiality and professionalism at all times.
  • Detail-oriented with a focus on accuracy.
  • Demonstrated creativity, flexibility, and mature judgment in problem-solving and handling diverse situations.
  • Effective communication skills, capable of interacting professionally with all levels of personnel.
  • Strong multitasking abilities and capacity to meet deadlines.
  • Advanced proficiency in MS Office applications.
  • Numerically and analytically skilled, with a strong aptitude for numbers.
  • Exceptional presentation and communication skills, with the ability to engage with senior executives and board members.
