About the Position:

The Executive Assistant will join a team of dedicated marketing professionals, playing a crucial role at the core of our organization. This position will leverage exceptional communication skills and the ability to handle confidential information with discretion. The Executive Assistant will collaborate closely with our President and team, managing the President's calendar, ensuring efficient communication, attending meetings, conducting research, and handling various administrative tasks. This role reports to the President. The salary range for this position is $65k-$85k.

We are interested in every qualified candidate who is eligible to work and will perform the work in the United States. We are not able to sponsor visas.

Your Impact:

  • Calendar Management: You'll manage and maintain the President's calendar, including coordinating and scheduling internal and external meetings.
  • Communication Facilitation: You'll ensure clear and efficient communication between the President and staff members.
  • Meeting Documentation: You'll attend meetings and/or listen to recordings to capture next steps, action items, and key insights.
  • Note Digitization: You'll convert handwritten notes to digital format, ensuring exceptional attention to detail.
  • Research and Analysis: You'll conduct research, analysis, and summaries on various topics and ideas.
  • Travel Coordination: You'll own travel booking, coordination, and expense reporting.
  • Confidentiality: You'll handle confidential information with discretion.
  • Expense Management: You'll manage expenses and create expense reports.
  • File Organization: You'll organize and maintain files and documents in a systematic and accessible manner.
  • Team Collaboration: You'll collaborate with other members of the team to support the President's initiatives and projects.


Requirements
  • 2+ years experience working as an Executive Assistant
  • Expert in managing and maintaining executive calendars, including coordinating and scheduling meetings
  • Skilled in capturing next steps, action items, and key insights from meetings
  • Experienced in conducting thorough research and providing concise summaries and analyses
  • Competent in handling all aspects of travel booking, coordination, and expense reporting
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • Proficiency in both Mac and PC environments; quick learner of new technology
  • Ability to work independently and take initiative
  • Honesty, trustworthiness, and a positive growth mindset
  • Experience with personal knowledge management (PKM) systems a plus
  • Familiarity with generative AI technologies, with a willingness to learn and apply these concepts in real-world scenarios.
