Job Description: Office Manager

Position Details: Contract (3 months), P/T first 2-3wks then Full Time Mon-Thurs 7am-5:30pm, Onsite in La Verne, CA|

Salary: $20- $25/hr. D.O.E. Start Date ETA: Early/Mid-January 2025


Responsibilities:

  • Oversee payroll processing with accuracy and timeliness, including calculating timesheet hours and entering data in QuickBooks.
  • Manage office procurement, ensuring availability of supplies, consumables, and other necessary resources.
  • Maintain a clean, organized, and welcoming office environment, performing light cleaning duties as needed.
  • Serve as a primary point of contact for customers, managing inquiries, scheduling, service updates, and follow-up communications via phone and email.
  • Facilitate the exchange of contracts, agreements, and payments between customers and the company to ensure a smooth transactional flow.
  • Welcome and direct visitors, vendors, and clients; ensure that their needs are attended to while keeping relevant staff informed.
  • Support office efficiency by establishing and maintaining organized operations and procedures.
  • Input customer and aircraft information in company systems.
  • Provide reminders, updates, and support to the Director of Maintenance and other team members to ensure schedules are kept and tasks are completed on time in order to maintain daily operational goals.
  • Organize and maintain records, contracts, and other documents, both physically and digitally, ensuring easy access and secure storage.
  • Collaborate with the maintenance team to help locate parts, tools, and other necessary materials to support service work efficiently.
  • Handle customer concerns with empathy and professionalism, collaborating with team members to resolve issues promptly in order to maintain customer satisfaction.


Qualifications:

  • Proficient in QuickBooks for Payroll and Google Workspace (Sheets, Docs, Drive) for document management and organization.
  • (Preferred but not required) Background in social media, photography, or website management to support facility marketing and promotion efforts.
  • Exceptional attention to detail and organizational skills.
  • Strong verbal and written communication abilities.
  • Ability to work onsite with the CEO and team daily.
  • Physically capable of lifting up to 25 pounds as needed and willing to take initiative.
