The Logistics Manager will report directly to the Director of Operations. This position will direct the control, overseeing and managing the ocean and domestic freight operations for the company. 

 

The primary objective is to ensure effective and efficient coordination between the Company and its customers with a high level of service and support while establishing and maintaining positive business relationships, internally and externally, to promote company goals.

 

ESSENTIAL DUTIES & RESPONSIBILITIES 


Management 

  • Work in tandem with purchasing 
  • Coach and train best practices for tracking orders 
  • Monitor and engage with vendors globally for best service 
  • Provide weekly reports for warehouse, sales, and operations 
  • Create a communication plan to provide consistent updates on delayed orders 
  • Provide direct instruction for customer service to reach out to customers regarding any and all order tracking  
  • Assist warehouse director on all aspects of inventory for management and reporting 
  • Work with a sense of urgency and attention to detail on issues of diverse scope where analysis of a situation or data needs evaluation of multiple factors, including a familiarity with current business trends 
  • Establish and implement processes and operational policies while selecting methods and techniques for obtaining solutions 
  • Act as an advisor to other team members to meet schedules and/or resolve technical problems 
  • Develop and administer schedules, performance requirements 
  • Monitor budget responsibilities 
  • Present data trends, reports, and findings 
  • Provide thought leadership in driving improvements globally 
  • Define transition roadmap that includes the key components around business processes, process redesign, and change management 
  • Working closely with other subject matter experts and stakeholders on competing/conflicting technologies, processes or staff requirements across the globe 
  • Lead requirement analysis sessions to gather key business objectives 
  • Identify and document gaps in process, system, and reporting 
  • Global issue resolution, coordination of project activities 
  • Lead in the definition and design of the global functional reporting metrics 
  • Design and maintain all on-boarding training documentation and processes for new hires when needed 
  • Lead Monthly Business Review / Annual Business Review with client Stakeholders by function 
  • Work with team to develop audit standards for transactions and data 
  • Help bring creative solutions and routing options to management and the customer 
  • Escalates uncommon, complex issues to the next level manager for resolution when necessary 
  • Delivers excellent customer service 
  • Ensures effective and efficient coordination between the Company and its customers with a high level of service and support 
  • Establishes and maintains positive business relationships, internally and externally, to promote company goals 
  • Resolves complex or unusual requests and problems that may require a customized response and communicates solutions or requested information to the customer 

 

Logistics 

  • Tracking Transport Material Between Warehouses 
  • Stock Level Ordering Logistics 
  • Troubleshooting Container Consolidation 
  • Continually assessing and updating landed cost 
  • Communicate efficiently and timely with different time zones and different cultures 
  • Build reports and train the company on how to read reports using Stone Profits, Oracle, NetSuites, or program equivalent  
  • Establishes and maintains a customer-level SOP, which outlines customers service expectations and details regarding tracking and logistics responses 
  • Works with agents abroad to insure timely shipment bookings 
  • Communicates rates/costs to agent and customers and provide any changes in real time 
  • Tracks and traces shipments with carriers & communicates discrepancies to customer service department  
  • Confirms and communicates all import milestones to customer (e.g.: ETD, ETA, Arrival, Dispatch, Delivery, etc.) 
  • Meets minimum productivity and established KPI goals 
  • Responsible for coordinating cargo movement and timely communication with shippers, freight forwarders, terminals, rail ramps, and exam sites 
  • Analyze various data and filter specific information and collaborate with internal teams to resolve customer inquiries via general emails and phone calls 
  • Operate and monitor container movement to ensure cargo loads the intended vessel 
  • Ensure the efficient and timely transportation of goods via ocean vessels, coordinating with various stakeholders, and implementing best practices to optimize operations 

Ocean Freight 

  • Oversee and manage the day-to-day operations of ocean freight shipments, ensuring adherence to established processes and standards 
  • Coordinate with internal teams, including sales, customer service, and warehousing, to ensure seamless execution of ocean freight activities 
  • Manage the booking and documentation process for ocean shipments, including coordinating with customers, carriers, and freight forwarders to secure the necessary space and equipment 
  • Ensure accurate and timely completion of shipping documents, including bills of lading, customs paperwork, and export documentation 
  • Develop and maintain strong relationships with ocean carriers, freight forwarders, and other vendors to negotiate rates, monitor service levels, and resolve any operational issues 
  • Evaluate and select carriers based on cost, service reliability, and transit time to ensure optimal performance 
  • Cargo Tracking and Shipment Monitoring: Monitor the movement of ocean freight shipments, track cargo, and provide regular updates to customers and internal stakeholders 
  • Address any delays, disruptions, or issues that may arise during transit and implement corrective measures to minimize impacts on delivery schedules 
  • Stay updated on international trade regulations, customs requirements, and industry-specific compliance standards related to ocean freight transportation 
  • Ensure adherence to all applicable laws and regulations, including proper documentation, licensing, and customs clearance 
  • Monitor key performance indicators (KPIs) and analyze operational data to identify areas for improvement and implement corrective actions 
  • Prepare regular reports on ocean freight operations, including volume analysis, cost performance, on-time delivery, and customer satisfaction metrics 
  • Provide training, guidance, and support to team members, ensuring their professional development and promoting a positive work environment 
  • Identify opportunities for process improvement and automation within the ocean freight department 
  • Implement efficient workflows, leverage technology solutions, and streamline operational procedures to enhance productivity and customer satisfaction 

 

REQUIREMENTS & QUALIFICATIONS 

 

Education:  


  • Bachelor or Master’s Degree in related field a plus 
  • Experience with Stone Profits Systems, NetSuite, Oracle preferred 
  • Computer Software knowledge and proficiency (Word, Excel, Lotus Notes) a must 
  • Knowledge and experience in Distributor Customer Service 

  


Skills & Abilities: 


  • The ideal candidate has experience in Distributor Customer Service 
  • Excellent oral and written communication skills with a demonstrated ability to interact effectively with individuals at all levels in the organization required 
  • Good voice quality that is conversational and professional 
  • Ability to interpret and follow oral and written instructions, policies, guidelines, and processing standards 
  • Experience in asset tracking and logistics as a lead 
  • Ability to demonstrate strong interpersonal relationship-building skills 
  • Adept in problem-solving skills, can determine root causes of issues while also creating proactive solutions for future issues 
  • Must have an advanced level of computer skills 
  • Must be detail oriented with the ability to multi-task, manage priorities and manage time effectively 
  • Ability to work in a fast-paced environment 

  


Experience: 


  • 5 or more years of logistics, warehousing, distribution, and inventory 
  • 1 or more years of leadership experience with a small team
