I’m the CEO at RTA, and I’m looking for a new executive assistant as my current amazing assistant is stepping down to focus on her health. This role manages the day-to-day administrative tasks that I’m faced with, getting me from meeting to meeting on time, keeps important issues top-of-mind, and reminds me of commitments needing follow through. Emails, calendars, task management, meeting planning... In short, this role becomes the other half of my brain. The organizer and facilitator of the vision and ideas, who can help follow up to make sure the team and I are meeting our commitments and executing the mission. It will require discretion, and the ability to judge the urgency of matters and requests that come to my office and the context behind them. Key Responsibilities
  • Email:
  • o  Sort and organize inbound emails regularly
  • o  Bring urgent matters to my attention
  • o  Grow to a point that you respond on the CEOs behalf
  • Calendar:
  • o  Know the CEO's calendar like the back of your hand
  • o  Create/protect blank space that can be filled with priority work
  • o  1-on-1s (these move and fall off, you'll need to ensure they stay consistent)
  • o  Ad-hoc internal meeting requests from team members (CEO's door is open, and anyone is free to meet with him if he's available).
  • o  Podcast Recordings – primarily internal, but sometimes external
  • o  Coordinate 3 offsite Executive Team meetings – hotels/catering/planning
  • o  Coordinate occasional Executive Team dinners
  • o  Coordinate weekly Executive Team meetings (Weekly Tactical/Strategic Ad-hoc meetings)
  • o  Monitor for holidays, PTO, business travel, and adjust
  • o  Coordinate lunch meetings with advisors and peer groups
  • o  Coordinate with the Onboarding Specialist for things like our Culture Kool-aid meeting, 60-day check-ins, etc.
  • o  Being able to exercise judgement/discretion to shift items in the calendar based on last minute requests/changes.
  • Take notes during Executive Team meetings
  • Follow up for assigned tasks to both CEO and EA
  • Assist with RTA Connect (our annual user conference)– hotels/catering/logistics planning/onsite support during event
  • Represent the CEO with association responsibilities (NAFA, GFX, FleetPros)
  • Book travel for the CEO
  • o  May also book travel for other ET members
  • o  May assist Event Marketing with booking travel/lodging for Tradeshows
  • Be eyes/ears in office, someone people go to with questions/concerns/problems

Qualifications

OK, the boring HR part of the job posting that looks like every other posting out there, but it’s necessary:

  • 7+ years experience supporting C-Level Executives, bonus points for years in SaaS or tech organizations
  • Proficient with Microsoft 365 products (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Proficient with Zoom and Teams
  • Experience with JIRA and Confluence a BIG plus
  • Bachelors Degree not required but preferred and in a business related field
