A non-profit organization in the NW Suburbs is seeking to add an Office Manager to its team. This role will encompass administrative support for the leadership team, overall office management, and HR coordination.
Responsibilities:
Office Management
- Oversee and manage daily office operations, including administrative tasks and office maintenance.
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Manage office budgets, expenses, and supplies, ensuring cost-effectiveness.
- Maintain a safe and secure working environment, adhering to health and safety policies. Keeping the office clean, organized, and stocked appropriately.
- Facility service contracts & landlord communications (HVAC, copier, water filter, etc.)
Executive Support
- Organize and schedule meetings, appointments, and travel arrangements for the leadership team. Support expense processing.
- Presentation and meeting support (scheduling, book & set up room, reminders for content, print materials, etc.) Exec Board meeting, EOS quarterly meetings, Staff meetings, Large donor presentations,
- Prepare gifts/collateral for guests and supporters
- Monitor Info@ account (50-100 emails per week); disseminate as needed
- Backup for administrative roles in Finance (depositing checks, compliance administration, etc.)
HR (10%)
- Recruitment and interview support including job postings, interview scheduling, greeting candidates, printing documents for interviewers, preparing candidate gifts, etc.
- Onboarding / offboarding support for employees, including I-9s, background checks, desk setup, etc.
- Employee engagement – Organize holiday parties, recognition events, and celebrations for birthdays and anniversaries, fostering company culture and a sense of belonging.
- Handle confidential information with discretion and professionalism.

- 3+ years of experience in office management or administrative roles.
- Strong organizational and time management skills.
- Resourceful with a strong work ethic.
- Tech-savvy and proficient in Microsoft Office (Word, Excel, Outlook, Teams, OneDrive, SharePoint), and HR systems. Experience with Salesforce is a plus but not required.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Strong problem-solving skills and attention to detail.
- Experience with office equipment and management software.
- Ability to work independently and collaboratively in a fast-paced environment.
