Office Manager

The Office Manager plays a pivotal role in maintaining the efficiency and effectiveness of a property management office. By overseeing administrative tasks, managing office operations, and facilitating communication, the Office Manager contributes to the overall success of the organization.
Key Responsibilities:
- Manage day-to-day administrative tasks, including answering phones, responding to emails, and handling correspondence.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Maintain office procedures and ensure they are being followed consistently.
- Maintain office equipment and supplies inventory; anticipate needs and place orders as necessary.
- Oversee the scheduling of meetings, appointments, and events.
- Act as the point of contact between the property management office and external vendors, clients, and tenants.
- Ensure the office environment is clean, organized, and conducive to productivity.
- Assist in financial management tasks, such as processing invoices, tracking expenses, and managing budgets.
- Facilitate communication between property managers, maintenance staff, and tenants.
- Serve as a liaison between the property management office and other departments within the organization.
- Communicate effectively with tenants, clients, and vendors.
Qualifications:
- Proven experience as an office manager, administrative assistant, or similar role.
- Knowledge of office management procedures and systems.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and office management software (e.g., property management software).
- Familiarity with basic accounting principles and practices.
- Ability to multitask and prioritize tasks effectively.
- Bilingual (Spanish) is a huge plus.
Education:
Bachelor's degree in business administration, office management, or related field; or on-the-job experience from which comparable knowledge and skills have been acquired.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
This position may require you to move around the property, which may involve walking, climbing stairs, or navigating different types of terrain. You should be able to move comfortably and safely throughout the property.
This position may require the need to lift and carry various items, such as maintenance supplies, equipment, or small furniture items. Being able to lift and carry moderate weights safely is important.
This position may require the need to perform tasks that require manual dexterity, such as operating tools, handling keys and locks.
