Position Summary: Assists the Human Resources Department in aspects of the Human Resource function. Performs a variety of assignments, e.g., payroll, benefits, recruiting/orientation, compliance. Handles routine problem solving and operates under general supervision.


Position Scope: HR coordinator responsibility for approximately 150 employees based in US. Gross Payroll of $12M, multi state taxation.


Position Responsibility:

  • Supervises and coordinates the administration of employee benefits.
  • Assists during the Open Enrollment period by working with the Human Resources Manager and VP of Human Resources in planning benefits and request for proposal with broker, coordinating meetings, and auditing information.
  • Manages Leaves of Absence including FMLA, Disability, Personal Leave, and Worker’s Compensation.
  • Prepares and administers Personnel Profiles and the annual EEO-1 survey.
  • Supports the employee relations investigation process by conducting interviews, following company policy on disciplinary action, and providing conflict resolution when necessary. Consults with employees on personal and professional matters.
  • Performs general administrative duties in regards to new hires, forms, postings, safety and health, annual audit of state regulations for posting notices, and employee relations.
  • Maintains all employee files; i.e., personnel, medical, leave of absence, 401(k), I-9 files.
  • Conducts New Hire Orientation and Benefits Training. Coordinates other relevant training as needed.
  • Manages payroll processing and aspects of the payroll cycle. Ensures payroll detail is accurate, updated, and complete for payroll.
  • Maintains individual payroll records, distributes payrolls, and coordinates with outside tax filing service.
  • Ensures compliance on withholdings and deductions where multi-state tax laws are involved. Audits daily records of time worked from time sheets, and total time worked by each employee via automated time clock service as a basis for making up payrolls.
  • Processes individual salary/rate adjustments or other changes affecting employee payroll status including new hires, transfers, layoffs, terminations, pay or unpaid leaves of absence and related actions.
  • Calculates and posts employee earnings including for example, overtime, meal periods, overtime, sick days and vacation. Processes the Third Party Sick Pay and balances between insurance carrier and taxable records.
  • Calculates vacations and sick / personal / (paid leave day) entitlements.
  • Maintains computerized time and attendance system, including direct communication with vendor as needed for system maintenance.
  • Maintains and initiates weekly, monthly and quarterly management reports (standard and customized) with payroll vendor and report program.
  • Prepares weekly garnishment report and arranges payment. Interpretation and implementation of court orders involving income executions and tax levies.
  • Verifies and balances all quarterly and year-end tax reports and executes adjustments or amendments. Audits and distributes W-2 forms, may prepare W-2C forms.
  • Assists with internal payroll audit with outside auditors.
  • Manages the quarterly worker’s compensation analysis and the annual audit with the insurance carrier. Ensures class codes are accurate and up-to-date.


General:

  • Maintains professional and technical knowledge by attending educational seminars; establishing personal networks; participating in professional societies, etc.
  • Assures compliance by following Food and Drug Administration's Good Manufacturing Practices as well as other regulatory standards as required by the department.
  • Contributes to overall achievement by accomplishing related tasks and demonstrating characteristics that exemplify team building and support.
  • Maintains employee confidence and protects operations by maintaining confidential information.

QUALIFICATIONS


Experience and Skills:

  • 1 - 2 years HR coordinator experience.
  • 1 year experiences with ADP Workforce Now including reporting preferred.
  • 1 year experience with automated time clock system, TimeClock Plus version a plus.
  • Payroll Tax experience, including multi-state payroll with ADP tax-filing service, knowledge of state reciprocity.
  • Knowledge of employment and labor laws such as the FLSA, FMLA, (COBRA), etc.
  • Strong computer skills - MS Office - Excel, Word, Outlook, and Power Point
  • Familiar with Federal and New York State Wage and Hour Regulations.


Education and Certifications:

  • Bachelors Degree preferred or equivalent work experience
  • SHRM CP Certification a plus
  • Bilingual a plus
