Human Resources Assistant - Bilingual Spanish

Job Summary

The Human Resources Assistant position manages various responsibilities beginning with the hiring process to the onboarding of new candidates to the agency. This position reports to the Human Resources Coordinator.

Candidates must have knowledge of DOH regulations, experience of home health care experience is a plus.

Responsibilities - Include but not limited to
  • Welcoming newly hired employees throughout their onboarding journey
  • Collects documentation for each new hire, and creates employee personnel charts within various software programs used at the agency
  • Makes follow-up calls, as well as texts and emails, to each applicant going through onboarding
  • Managing the onboarding process from beginning to end, ensuring a great experience for new employees and a smooth start into their roles.
  • Coordinating/hosting orientation presentations
  • Conduct required on-boarding process for new hires (background checks; fingerprinting; pre-employment physical; Home Care Registry Check) prior to start date.
  • Ensure that all new hire employee documents are completed and signed dated prior to start date.
  • Maintain and administer HHA training and in-service.
  • Enter new hires into Home Care Registry; HHA Exchange. Submit W-4 and Tax forms to the Finance Department.
  • Create newly hired paraprofessional personnel files/medical files/I9 files/CHRC files.
  • Prepare employees ID badges
  • Assist with follow-up regarding Employment authorization
  • Assist with scheduling employees for disciplinary hearings
  • Assist HR Coordinator to contact HHA's for missing documents; entering data/updates for in-services, medical reports. Annual mandatory evaluations.
  • Assist with the completion of employment verification and request for job letters
  • Inform supervisor of any issues or concerns.
  • Educate field employees regarding benefits and applicable pay continuation, return to work processes or separation when needed.
  • Maintains up to date knowledge of benefit, policies and procedures.
  • Assist HR coordinator with payroll processes when needed.
  • Performs other duties as assigned by HR Coordinator or as required.
  • Where applicable and when performing the responsibilities of the job, employees are accountable to maintain Ideal Home Care Services compliance and adhere to internal control policies and procedures.
Qualifications
  • High School Diploma or Equivalent required.
  • Human Resources Certificate/AAS Degree preferred.
  • Experience with Google and HHA Exchange software is a plus.
  • Experience with CHRC and home care registry is a plus.
  • Knowledge of Department of Labor and Department of Health rules and regulations.
  • Ability to work in a fast paced environment and have strong attention to detail.
  • Maintains a positive and professional demeanor towards clients, visitors, families, and co-workers.
  • Bilingual Spanish is a must.
Compensation and Schedules
  • Schedule - Monday through Friday 9:00 am - 5:00 pm.
  • Compensation: $20-25 per hour based on experience.
Job Type: Full-time
