This role requires a service-minded, organized and motivated individual with demonstrated administrative or executive assistant skills to support the firm’s business development efforts and team.


The ideal candidate must be able to thrive in a fast-paced setting with multiple demands on their time in a team environment. This position will work closely with the business development and marketing team and other departments within the company.


ESSENTIAL FUNCTIONS:


  • CRM System Maintenance and Research:
  • Maintain and manage daily (individually and with others) the Cosential CRM system including information and updates regarding personnel, Business Development opportunities, and project information
  • Track and coordinate the renewal of all employee professional certifications and licenses
  • Track all employee community involvement, including playing an active role in connecting employees with community involvement activities and board opportunities
  • Conduct Business Development research and gather statistics when requested


  • Administrative Assistance:
  • Assist the Marketing and Business Development teams
  • Schedule meetings, and coordinate travel and hotel accommodations for Business Development activities
  • Coordinate Business Development-specific events
  • Coordinate participation and execute payment of event/award sponsorships
  • Assist in the coordination of internal events such as company picnics and parties
  • Record and provide meeting minutes in various marketing and business development meetings
  • Assist with holiday gifts and greeting card coordination for clients and prospects
  • Assist in the planning of the VJS Community Foundation Annual 5K event and Annual Golf Outing Provide back up for attendance at events, tradeshows and dinners representing VJS, sometimes after hours
  • Perform other administrative duties as required


Qualifications


  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite, including Teams and Zoom
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Experience in coordinating and organizing mileage, expense and credit card reports and receipts
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Ability to work independently and deadline oriented
  • Experience Required: 5+ years, experience in the A/E/C Industry is preferred
