Job summary
The ideal candidate will be proficient in both English and Spanish, possessing strong organizational and communication skills. As a key member of our administrative team, you will play a crucial role in supporting our Human Resources department and ensuring smooth office operations.
Minimum Requirements
• Associate degree or Certificate in HR or Business, preferred.
• 1-2 Years of Experience in an Administrative Role. HR Interaction is preferred.
• 2 or more years of customer service experience, preferably in a call center.
• Familiarity with computer systems (MS Office, including Word, Excel, and Outlook, ADP is a plus), which includes the ability to learn new and complex computer systems.
• Ability to work in a fast-paced environment, to manage high pressure situations, and to be flexible and adaptable when a situation requires it.
• Demonstrates effective written and verbal communication in English and Spanish.
• Strong organizational and time management skills.
• While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms
Qualifications.
Communication: Serve as a point of contact between the field team, clients, and the office staff. Facilitate communication and information flow.
Documentation: Maintain and organize field documentation, reports, and records.
Data Entry: Accurately input data into our systems and databases.
Compliance: Ensure that field operations adhere to company policies and industry regulations.
Travel Assistance: Travel arrangements support for field staff, including housing, accommodations, and transportation.
Reporting: Generate regular reports on field operations and project status, presenting data clearly and accurately.
Key responsibilities
• Excellent customer service (processing requests via telephone, chat and/or email)
• Check on the internal booking system and make the booking for the employees.
• Ensure the installation team is following HR policies and procedures
• Follow up on any HR inquiries including investigations if necessary
• Tracking site vacation time and request.
• Payroll support
• Data Entry and Reporting.
• Documentation and Record Keeping
• Conflict Resolution.
• Front desk and Administrative of support
• General Office and field Support.
• ADP Support
A HR Assistant is an essential link between the field team and the central office, contributing to the efficient and effective execution of field operations. This role demands strong organizational and communication skills and the ability to work in dynamic and sometimes challenging environments.
