The ideal candidate will possess a robust background in facilities management, subcontractor and vendor engagement, financial management, and personnel leadership. The Facilities Manager operates within a dynamic work environment that requires adaptability, teamwork, and the ability to thrive in both office and field settings. This role involves collaborating with diverse stakeholders, managing a team, and overseeing operations in a fast-paced atmosphere with variable working hours.
Primary Responsibilities:
Subcontractor and Vendor Engagement:
Source and manage subcontractors for repairs and maintenance tasks.
Coordinate cleaning services and staff and reactive responses to uphold cleanliness standards.
Oversee the procurement of qualified repair subcontractors to prepare properties for lease or sale.
Job Costing and Budgeting:
Generate estimates for repairs and maintenance, ensuring adherence to budgetary constraints.
Establish and manage C.A.M (Common Area Maintenance) budgets.
Accurately manage costs associated with lease terms and monitor C.A.M costs against budget allocations.
Identify opportunities for cost-saving measures and implement efficient maintenance policies.
Explore and implement software solutions to streamline facilities management processes and enhance productivity.
Personnel and Tenant Management:
Ability to work effectively with and manage others as part of a team is essential. The Facilities Manager will coordinate with maintenance staff, subcontractors, vendors, and management to ensure seamless operations and tenant satisfaction.
Lead and direct staff to execute maintenance programs effectively.
Establish maintenance schedules for all systems, ensuring compliance with state/federal regulations and contractual obligations.
Schedule and coordinate access for repair work with tenants and subcontractors.
Communication:
Maintain open lines of communication with tenants, subcontractors, and management to ensure high customer satisfaction.
Respond promptly to emergency calls and emails, prioritizing tasks effectively.
Effectively communicate daily work records and job assignments.
Administrative Duties:
Prioritize work assignments, ensuring consistent review and professional management of all facilities.
Secure Request for Proposals (RFPs) for projects as directed.
Complete residential and commercial property turnover checklists on each vacancy.
Maintain accurate assignment records and provide weekly updates on progress and completion.
Proficiency in budget management, invoicing, and financial reporting.
Ability to navigate lease terms and accurately manage associated costs.
Familiarity with property management software and tools for efficient administration.
Required Skills and Qualifications:
C.F.M certification is preferred.
Proven experience in facilities management, subcontractor/vendor engagement, and budget management.
Strong leadership skills with the ability to lead and direct staff effectively.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite and property management software.
The Facilities Manager plays a critical role in ensuring the upkeep and efficiency of our properties while optimizing costs and maintaining high standards of service.
