We are dedicated to surpassing customer expectations in both quality and service. Currently, we are seeking a reliable and proactive Administrative Assistant for our Front Office to join our team. This role is crucial in providing a positive first impression for visitors while supporting various office operations and assisting the Human Resources team with administrative tasks. The ideal candidate will be detail-oriented, possess strong communication and organizational skills, and enjoy assisting with a range of office and HR-related responsibilities.


Key Responsibilities:


  • Phone and Message Management: Answer incoming phone calls, direct them to the appropriate personnel, and relay messages promptly.
  • Mail Handling: Prepare outgoing mail, regularly check the mailbox, and sort incoming mail for distribution.
  • Visitor Reception: Greet visitors warmly, provide assistance, and notify relevant team members of visitor arrivals.
  • HR Support: Assist the HR team with tasks such as coordinating interview schedules, maintaining candidate records, and responding to inquiries about employment opportunities.
  • Aquarium Maintenance: Feed the office fish according to the schedule and monitor tank conditions.
  • Freight Carrier Payments: Provide checks to freight carriers as needed, make copies of checks that will be mailed, and ensure address labels are properly created for mailing.
  • Payroll Distribution: Send out payroll checks according to schedule, ensuring all mailing details are accurate.
  • Warehouse Backup Support: Act as backup support when the warehouse is closed, ensuring all incoming packages are safely stored until the warehouse reopens.
  • Accounting Paperwork: Transport accounting paperwork to the designated area daily.
  • General Office Support: Assist with miscellaneous office tasks as needed to maintain a smooth workflow.
  • Additional Assignments: Undertake any other assignments that relate to the responsibilities of this position, ensuring flexibility and readiness to support various office and HR needs as they arise.


Requirements:


  • Prior experience in a receptionist or administrative role preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and the ability to manage multiple responsibilities.
  • Professional demeanor with a proactive, customer-service mindset.
  • Ability to work efficiently, handle financial documents with confidentiality, and follow up on tasks in a timely manner.


Salary: Based on experience
