Job Title: Administrative Assistant


Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to support our team. The ideal candidate will have excellent communication skills, a proactive approach, and the ability to manage multiple tasks efficiently. This role involves a wide range of administrative duties that contribute to the smooth operation of our office and overall business processes.


Key Responsibilities:

  • Scheduling: Manage calendars, schedule meetings, appointments, and travel arrangements for team members, ensuring efficient time management.
  • Communication: Act as the first point of contact for internal and external communications, answering phones, directing calls, and responding to emails promptly and professionally.
  • Document Management: Prepare, edit, and format documents, reports, presentations, and correspondence. Maintain organized filing systems, both digital and physical.
  • Data Entry: Accurately input and update data in various systems, maintaining confidentiality and ensuring data integrity.
  • Meeting Support: Prepare meeting agendas, take minutes, and distribute them to relevant parties. Assist in organizing and coordinating company events and meetings.
  • Financial Support: Assist with basic bookkeeping tasks such as processing invoices, expense reports, and budget tracking.
  • Project Assistance: Provide administrative support for special projects, including research, compiling information, and assisting with project coordination.
  • Customer Service: Greet visitors, clients, and vendors in a friendly and professional manner, ensuring they are directed to the appropriate person or department.
  • General Administrative Tasks: Perform various other administrative duties as needed, including photocopying, faxing, and ordering office supplies.


Qualifications:

  • Education: High school diploma or equivalent; additional qualifications as an Administrative Assistant or in a related field is a plus.
  • Experience: 1+ years of experience in an administrative role or similar position.
  • Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
  • Excellent verbal and written communication skills.
  • Telecommunications experience a plus
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality.
