The Corporate Events Coordinator will assist the Corporate Events Planner in organizing, developing, and executing a variety of employee events throughout the year. Ideal candidates should demonstrate a strong work ethic, keen attention to detail, creativity, exceptional organizational skills, and the ability to handle multiple events simultaneously while adhering to time and budget constraints.


Responsibilities:

  • Assist in planning and executing multiple corporate events annually, including the GM convention, charity golf tournament and auction, President’s Gold Club event, corporate advance screenings, quarterly Town Halls, Halloween trunk-or-treat, and holiday parties.
  • Generate innovative ideas for new event opportunities that align with the company's vision and goals.
  • Research venues, vendors, entertainment, and other resources as needed.
  • Assist in managing event-related tasks such as creating timelines, budgets, agendas, checklists, and reports.
  • Process and track invoices, contracts, and payments related to events, ensuring compliance with company policies.
  • Provide on-site support and coordination before, during, and after events, interacting professionally with guests, staff, and vendor partners.
  • Build positive relationships across the organization, working effectively with various internal and external partners.
  • Demonstrate a positive attitude, enthusiasm, and initiative in delivering high-quality events that meet or exceed expectations.
  • Organize and manage internal volunteer groups for events, clearly communicating expectations and delegating responsibilities.
  • Proactively manage arising issues and troubleshoot problems during events.
  • Conduct pre- and post-event evaluations, reporting on outcomes.


Requirements:

  • A Bachelor's in event management, marketing, public relations, or communications is a plus.
  • Experience with event management registration platforms such as OneCause, Eventbrite, etc.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Willingness to work onsite as required.
  • Demonstrated experience in coordinating live events with several dozen to hundreds of participants.
  • Exceptional organizational skills, supporting all aspects of event planning and execution.
  • Strong communication and customer service skills, with the ability to build strong relationships with internal and external stakeholders.
  • Ability to problem-solve, track down information when needed, and navigate ambiguity.
  • Positive attitude and work ethic, capable of managing multiple details and deadlines while fostering engagement across the organization.
  • Ability to coordinate, delegate to, and manage diverse groups of organizational volunteers.
  • Capability to function effectively and independently in a fast-paced environment with multiple and diverse responsibilities.
  • Enthusiasm and passion for working with people.
