Job Description: Administration Coordinator

Reports to: Assistant Director of Development

Position: Part-time position, approximately 20 hours per week during regular business hours. Hourly pay range is $15-$17. Must reside in Knoxville, TN or plan to move to the area.

Basic & Primary Responsibilities:

This position will provide administrative support for KMA’s Development Department.

  • Process donor and member gifts, perform data entry, and assist with various correspondence
  • Produce and track invoices for individual and corporate donors
  • Assist Membership services with fulfillment and renewal processes, and maintain membership and donor files
  • Support development staff with design/production of fundraising materials to promote and thank donors, including posters, vinyl banners, recap packets, flyers, etc.
  • Assist with set-up and breakdown of special events and meetings when needed
  • Ensure confidentiality is maintained regarding all donor and proprietary information


Job Requirements:

Education: Bachelor’s degree preferred or 3-4 years in an administrative role, preferably looking for a candidate with experience working for a non-profit in development or fundraising

Interpersonal: Excellent verbal and written communication skills required. Excellent social skills are required to relate in a positive manner to staff, donors, trustees, volunteers, plus the ability to interact with the community at large, including the varying cultural and socioeconomic audiences the museum serves.

Professional: Proficiency in computer skills – Word, Outlook, Excel required. The ability to learn and adapt to the donor management system software such as Donor Perfect is required. Must be a self-starter.
