Key Responsibilities:

  • Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
  • Prioritize and organize competing requests, ensuring time efficiency and adherence to the executive's strategic priorities.
  • Draft, review, and manage correspondence, including emails, letters, and reports on behalf of the executive.
  • Prepare agendas, presentations, and briefing materials for meetings.
  • Organize and coordinate meetings, conferences, and events, both on-site and off-site.
  • Take minutes during meetings, ensuring follow-up actions are tracked and completed.
  • Arrange complex travel itineraries, including flights, hotels, ground transportation, and visa requirements.
  • Assist with managing and organizing office operations, including supplies, equipment, and other logistics.
  • Oversee special projects and handle ad-hoc requests to support the executive's objectives.
  • Prepare and manage expense reports for the executive, ensuring timely submissions and adherence to budget guidelines.
  • Track and reconcile receipts, invoices, and financial documents.
  • Anticipate the executive's needs and proactively manage issues before they arise.

Requirements:

  • Bachelor's degree in Business Administration, Communications, or related field (preferred).
  • Proven experience (3+ years) as an Executive Assistant, Personal Assistant, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
  • Excellent written and verbal communication skills.
  • Strong ability to multitask, prioritize, and meet deadlines.

Work Environment:

  • Full-time, 40 hours.
  • Monday to Friday.
  • 8:00am-5:00pm.
