Administrative Support Specialist

The University of Tennessee is seeking an Administrative Associate to support the Mechanical Aerospace & Biomedical Engineering department's Undergraduate Programs. The successful candidate will work closely with the Associate Head for Undergraduate Programs and other departmental staff to ensure the smooth operation of the department's administrative functions.
Key Responsibilities:
- Timetable management, including monitoring and coordinating critical departmental deadlines.
- Managing student registration permissions, administering Undergraduate laboratory courses, and coordinating faculty participation in campus events.
- Gathering and organizing data related to student enrollment, achievement, and activities using University databases and resources.
- Providing administrative support to the Associate Department Head, including handling requests to set appointments and meetings.
- Arranging departmental and college meetings, ensuring successful meetings by evaluating room and equipment needs.
- Ensuring MABE Department courses are correct on the timetable by comparing spreadsheets with courses offered for each semester.
- Providing the Registrar's office with lists of cross-listed courses and courses meeting in departmental rooms.
- Controlling registration for specific courses to ensure enrollment parity among multi-section courses.
- Maintaining student email lists and sending out emails as requested by Department Heads.
- Setting registration permissions for Undergraduate students, including lab courses and faculty-supervised research.
- Assisting Senior Design coordinators with sorting students into design teams and collaborating with Graduate Programs coordinators.
- Providing administrative support to the Associate Department Heads, including generating reports from Argos and handling requests from MABE faculty.
- Organizing MABE participation in college-led student-focused activities, including setting up departmental displays and coordinating with the College.
- Maintaining records of faculty participation in commencement and renting faculty regalia.
- Serving as the first point-of-contact for prospective student families, tours, summer programs, and other departmental visitors.
Requirements and Skills:
- Associate's degree and 2 years of office experience or 4 or more years of office/administrative experience.
- Ability to work independently and as a member of a team.
- Proficient in Microsoft Office.
- Strong time management skills.
- Excellent written and verbal communication skills.
- Ability to interact with a diverse group of individuals.
- Must be able to multi-task.
- Customer service skills.
- Preferred: Bachelor's degree, experience with Banner, IRIS, and knowledge of UT Policies, and experience in higher education.
