OVERVIEW


The Project Management Specialist is the glue that binds the team together and ensures the work gets done. His/Her focus will be to make sure that work being done from cross functional teams flows from initial project concept, to appropriate teams, and hits key timelines through delivery. This individual needs to understand every project that is going on and be integrated into each project to unite teams and the work. The Project Management Specialist ensures a smooth production of deliverables from beginning to execution.


PROCESS DEVELOPMENT (40%)

Process Creation: Designs and implements efficient workflows for cross-functional teams to collaborate and deliver on projects. Identifies the roles, responsibilities, dependencies, and timelines for each project and communicates them clearly to all stakeholders. Establishes best practices and guidelines for project management and documentation. Monitors and evaluates the process performance and makes adjustments as needed.


PROJECT MANAGEMENT (30%)

Project Lifecycle: Oversees the entire lifecycle of a specific project, campaign, or deliverable. Is the one kicking off the project for the team. Calendarization: Keeps the “keys to the kingdom” by housing all the intricacies of the plan into one place. Then gets the teams together to review and ensure alignment on what’s happening. Details: Dives into the nitty-gritty aspects of the project, ensuring it aligns with the budget, timeline, and project requirements. Schedule Prioritization: Develop schedules for delivery of projects to hit business needs on time and confirm that work is progressing on schedule. They should prepare daily priority lists, weekly project status reports, budgets, and communicate potential problems to teams along with recommended solutions. Team Relations: Handles cross-functional interactions, managing expectations, and delivering high-quality work on time. KPI/Goal Focus: Aims for project success tied to retail goals and ensures it hits budget.


CREATIVE TRAFFICKING (15%)

Workflow Oversight: Touches every project at key points in its lifecycle, such as intake, workflow platforms, pulling reports, and administering project components. Resource Allocation: Ensures efficient utilization of team resources. Team Efficiency: Work with various teams to ensure projects flow through promptly and teams have the resources they need to complete the project on time and on budget.


LEGAL TRAFFICKING (15%)

Work with Legal to develop a review cadence of projects for approval Handles cross-functional interactions with Legal to manage expectations, timelines, and rules. Communicate and Train teams on Legal updates. Review and remove images to PAW when Legal updates are made.


EDUCATION & EXPERIENCE

  • Bachelor’s Degree required, preferably in marketing, communications, or similar. 3+ years of work experience in a project management or related role, preferably within the marketing space.
  • Comfortable using or implementing project management tools (Jira, Microsoft Planner, or similar).
  • Proficiency using office software including Microsoft Word, PowerPoint, and Excel.
  • Ability to drive projects, meet deadlines, and solve problems in a fast-paced environment with shifting priorities, demands and timelines.
  • Excellent written and verbal communication skills and proven ability to work cross functionally at all levels of an organization.
