POSITION: Office Coordinator

ORGANIZATION: Foundation

LOCATION: Newark, NJ

HOURS: Schedule would be 3 days per week, generally Tuesday, Wednesday, Thursday, regular 9:00 am - 5:00 pm business hours

START DATE: Early September 2024

DURATION: 3 months (possibly longer)

PAY: $30/hour

DESCRIPTION:

Part-time Office Operations Coordinator (Temp)

Reports to: Director of Operations

Skills needed:

  • Diplomacy and communication skills to handle any complaints and emergencies in a level-headed manner
  • Highly organized with demonstrated ability to multi-task
  • Ability to work and manage time/tasks independently
  • Strong in person and phone customer service skills
  • Critical thinker with problem-solving skills
  • Team player with demonstrated comfort working with diverse work styles

Responsibilities

  • Greet guests and visitors
  • Answer phone
  • Order office supplies and assist with stocking and organizing supply and storage rooms
  • Propose and coordinate catering arrangements for all-staff meetings, board meetings and other in office events
  • Coordinate logistics and staff or partner events held in the office
  • Replenish office kitchen pantry and related supplies
  • Coordinate with the team to ensure common office spaces remain neat at all times
  • First line of contact with vendors, providing office supplies, equipment maintenance and landlord and building services
  • Support staff on using office equipment and report outages or malfunction issues.
  • Manage space/meeting reservations for parties looking to use the foundation’s space.
  • Provide administrative coordination support for team projects & initiatives as assigned


Additional Info

The assignment would initially start from September to year-end, and it is possible that a more full time schedule could be needed in the new year. The ideal candidate will have administrative/operations experience and live in NJ in close commuting distance to the office. Parking is provided.
