Responsibilities

  • Support the CEO daily as needed with tasks of both corporate and personal nature.
  • Managing schedules, making appointments, and setting agendas.
  • Assist with incoming and outgoing email to and from multiple mailboxes including receiving dictation.
  • Secure travel arrangements including commercial and private air travel, hotel reservations, car arrangements, etc. for domestic and international travel.
  • Manage business and personal expenses, and reconcile credit card statements, bank statements, and investment accounts.
  • Serve as personal CFO by maintaining personal bills and financial statements, preparing personal financial statements, assisting with quarterly and annual tax filings, interacting with personal financial advisors, etc.
  • Maintain extensive contact database.
  • Work in a multi-platform environment to provide support for the CEO’s former personally owned company and personal data.
  • Screen incoming calls and mail. Maintain all online files in an organized manner.
  • Miscellaneous duties and projects as assigned.


Ideal Experience

  • Minimum of 6+ years of hands-on Executive/Personal Assistant experience supporting C-Level Executive, investment industry experience is a plus.
  • College degree preferred.
  • Superior research, organization, time management, writing, proofreading/editing, and dictation are a plus.
  • Strong travel, logistics, and calendar management experience.
  • Excellent communication skills, both written and verbal.
  • Must be available outside of working hours (nights/weekends) as needed.
  • Must be detail-oriented, able to think and work independently, act with appropriate judgment, multi-task while managing competing priorities, and thrive in a fast-paced environment.
  • Must hold the highest degree of integrity, corporate professionalism, and capacity to maintain confidentiality.
  • Strong computer skills with proficiency in Microsoft Office including Outlook, Word, Excel, PowerPoint, and QuickBooks.
