The Historic Trust is the nonprofit that preserves and stewards some of Vancouver’s most important historical and architectural resources, and produces inclusive events and programs to celebrate our community’s history and diverse cultural and artistic assets.


The person in this full time in-office position will assist the organization in reaching its fundraising and outreach goals by providing core administrative support. Work includes but is not limited to: maintaining accurate donor records and timely processing of donations, pledges and acknowledgments; preparing mailings and creating reports; communicating professionally and effectively with donors, volunteers, staff, and stakeholders; coordinating a dedicated corps of volunteer tour guides; providing communications support in coordination with marketing and programming staff; providing general office support; staffing Trust events as needed. 


Ideal candidates will have experience in database management, donor and volunteer stewardship, volunteer coordination and/or scheduling, and have a strong understanding of non-profit structure & goals. Key skills we're looking for are: strong verbal and written communication skills, attention to detail and accuracy, creative problem-solving, strong organizational capabilities to coordinate multiple things at once, and the ability to be a team player as well as a team leader. Having a positive attitude and willingness to learn and adapt to change is essential.


QUALIFICATIONS

  • Bachelor's degree in communications, non-profit administration, public relations or related field
  • In lieu of education, three (3) years of experience in public and/or non-profit fundraising, communications, community relations, volunteer management, or partnership building.
  • Database software and/or contact management experience required.
  • Excellent written and verbal communication skills.
  •  High attention to detail. 
  • Time management, analytical and organizational skills, with the ability to organize and manage multiple priorities with competing or conflicting deadlines and frequent interruptions.
  • High proficiency with Microsoft Office, Adobe Cloud, and basic office computing, experience with SharePoint a plus.
  •  Experience with or ability to learn computer programs and management systems used by the Trust such as Bloomerang, Rezdy, etc. and participate in trainings as assigned.
  • Social media content creation experience a plus.
  • Graphic design experience or familiarity with programs like Canva a plus.
  • Flexibility to manage a wide variety of tasks.
  • Ability to work both independently and in a team.
  • Professional appearance, demeanor, and telephone skills.
  • Willingness and ability to work with diverse populations.
  • Ability to maintain confidentiality related to the area of work.


DEVELOPMENT DEPARTMENT RESPONSIBILITIES (40%)

  • Responsible for day-to-day development support duties including entering gifts into the donor database (Bloomerang) and providing timely and accurate written gift acknowledgments. Must demonstrate strong database skills through creation and maintenance of detailed and accurate donor records, optimizing the health of the donor database, and generating reports, comparisons, donor listings, contribution histories, generating mailing lists, and more.
  • Facilitate and carry out the processes necessary for tracking gifts and pledges on a daily basis.
  • Coordinate and track identified prospects for philanthropic giving, sponsorships, and other campaigns or events.
  • Provide support for all aspects of development and communications strategies and campaigns, such as content creation for the bi-annual Newsletter.
  • Provide operational support of Trust events through planning, tracking and communications, committee interaction, creating collateral, and other coordination duties as assigned.
  • Assist with sponsorship sales and stewardship, ensuring sponsor benefits are met.
  • Assist with grant research and applications as needed.


VOLUNTEER COORDINATION RESPONSIBILITIES (20%)

  • Manage intake of all volunteer applicants.
  • Based on organizational needs, recruit, screen, train, and assign new volunteers as needed.
  • Oversee scheduling and communication with volunteer docents (tour guides) and other volunteers to meet organizational needs.
  • Act as liaison between organization administration and volunteers to communicate organization priorities, policies and procedures.
  • Support marketing efforts to promote docent-led tours.


ADMINISTRATIVE/OFFICE SUPPORT RESPONSIBILITIES (40%)

  • Provide administrative support to the Trust office under the supervision of the Development & Outreach Manager.
  • Share front-of-house operations and interface with the public in person and by phone, including but not limited to: front-door monitoring, payment receipt & recording, receipt of packages, answering calls to the phone “ring group.”
  • Provide occasional support for organization CEO, Directors and Managers, as requested by supervisor.
  • Maintain confidential and sensitive information.


WORKING CONDITIONS

This is an in-person, in-office position. Daily work is performed primarily in a seated position with prolonged periods of typing. Ability to lift 25 pounds for moving of tables, chairs needed for meeting and event set-up. Position requires the flexibility to work occasional evenings and weekends.


Reports to: Development and Outreach Manager

Hours: Full-time, hourly, non-exempt. Office hours 8:00 a.m. to 5:00 p.m.

Compensation & Benefits: $21.00-$24.00 per hour.

Full-time employees are eligible for a comprehensive benefits package that includes medical, dental, and vision coverage; short- and long-term disability, life insurance, and retirement contributions as outlined in the Trust’s policies.
