Position Overview

Assist Hansine Fisher & Associates (HFA) in the administration of San Diego County's Medi-Cal Administrative Activities/Targeted Case Management (MAA/TCM) unit. The position includes a wide variety of administrative tasks and responsibilities and requires the ability to manage multiple tasks simultaneously, organize a complex workflow, and work in a fast-paced environment.


The MAA/TCM unit oversees two federal Medicaid programs that involve county programs and their public and community-based contractors. The unit is responsible for program implementation, monitoring, and oversight. The unit contracts with HFA to provide technical assistance and support. The Administrative Assist position functions as a member of HFA's technical assistance team. Position is currently hybrid but should the County require employees to return to in-office work full-time the Administrative Assistant will be required to comply as well.


Duties

  • Provide courteous, high-quality assistance to County staff and its contractors, to help meet state and county program requirements and requests.
  • Maintain and track electronic files required for audits.
  • Prepare quarterly reports that track time survey hours.
  • Distribute quality review questionnaires and create reports to monitor response.
  • Analyze and create a variety of complex program-related data reports.
  • Create reports to assist with fiscal budget preparation and projections.
  • Assist with preparing and presenting trainings, maintain training logs, resister staff for yearly training and monitor completion.
  • Complete special projects requiring the quantitative and analytical skills
  • Create and maintain various tracking logs to ensure program compliance with state and local requirements.


Knowledge and Skills

  • Ability to establish and maintain cooperative working relationships with County staff and contracts and HFA members and provide prompt, efficient, and courteous service.
  • Ability of function calmly and professionally in adverse situations, which require a high degree of sensitivity, tact, and diplomacy.
  • Ability to adhere to multiple deadlines imposted by HFA or county manager. These programs operate under strict county and/or federal deadlines.
  • Ability to exercise appropriate judgment in answering questions and releasing information' analyze and project consequences of decisions and/or recommendations.
  • experience in communicating effectively and orally and in writing with colleagues and in large group settings.
  • Ability to work remotely and independently.


Salary and Schedule

  • Minimum of 30 hours per week (full-time status)
  • $28.50 hourly
  • San Diego California, hybrid work schedule
  • Must be available to work Monday-Friday between 8am and 5pm


Education and Experience

  • High School Diploma and at least 4 yers of related experience required. Additional education may be substituted for experience.
  • Intermediate proficiency in MS Office Suite, particularly MS Excel is required.
  • Experience working in public health or human services is preferred.
  • Understanding of HIPAA rules and regulations is preferred.
  • Experience working with federal Title XIX programs is preferred.
