What We Are Looking For


C.Herman Construction is seeking an experienced Contract Administrator with 3+ year’s experience in bookkeeping or contract administration. This position will be based in our Charlotte, NC office and will play a pivotal role in supporting the project teams with contract execution on all construction projects. This role will work closely with our president, project managers, accounting department as well as subcontractors and vendors on a daily basis.


The Contract Administrator will be responsible for adhering to C.Herman Construction’s contract management system workflow, obtaining required information, updating project teams and handling all expedited requests related to contract status and approvals. This role may also include other duties as designated by our president and controller. The ideal candidate is highly organized with excellent communication skills.

Key Job Responsibilities


  • Processing requests for subcontracts, change orders, purchase orders etc for all C.Herman Construction projects
  • Maintain contract compliance: change orders, subcontractor compliance, license, and insurance requirements.
  • Review and process change order requests promptly and efficiently 
  • Collect and record all contracts/forms within Procore Management System
  • Maintain and update projects/contact information in Procore as needed
  • Prepare reports and communicate regularly with management/project teams on status of contracts
  • Lead bi-weekly contract calls with internal teams
  • Advise and update teams on communication among clients and vendors
  • Ability to maintain logs and the tracking of all correspondence between management and subcontractors
  • Maintain insurance requirement forms for each vendor.
  • Collect, track and file documents from vendors including W9’s, SOV, COI and Safety Manuals
  • Organize and file documents as needed for each project
  • Assist project teams with closeout activities of projects as needed
  • Maintain good communication and working relationships with outside vendors/subcontrators


Qualifications

  • 3+ years experience in bookkeeping or contract administration required
  • Associates or Bachelor’s Degree or equivalent experience
  • Proficiency in Excel, Word, and Outlook
  • Experience using Procore or another construction project management software preferred
  • Deadline conscious and detail-oriented
  • Excellent time-management and organizational skills
  • Strong attention to detail and follow-through skills
  • Clear verbal and written communication skills
  • Self-motivated and ability to work both independently and with a team
  • Ability to organize, plan and manage multiple responsibilities to accomplish desired results.
