Now, let's talk about the role itself. Are you a Jack/Jill of all trades, then this is a role for you. We are looking for a dynamic individual to join the BW Team as Executive Administrative Assistant, reporting directly to Pamela Kan, our President & Owner. In this role, you will be the backbone of administrative support, ensuring her time is utilized efficiently and helping to foster productive interactions across our team and with the public.

Your responsibilities will be diverse, ranging from administrative tasks to spearheading initiatives independently. As the Secretary of the Company, you'll play a pivotal role in organizing our Board of Directors and Board of Advisors meetings. Moreover, with plans to bring on a COO by the end of 2024, your role may extend to supporting this key individual as well.

Step into the dynamic role we're offering with a variety of exciting responsibilities:

· Safeguard confidential communications and documents.

· Be the backbone of our communication network, ensuring no message goes unanswered and every interaction is timely.

· Maintaining appointments, schedules, calendars, and coordinates travel.

· Play a key role in organizing meetings, from agenda preparation to negotiating contracts and gathering information.

· Act as liaison between executives, department heads, and board members to ensure our organizational goals are not just met but exceeded.

· Take the reins on managing the Executive Budget and submitting expense reports timely.

· Monitor project progress and deliver progress reports to leadership and stakeholders.

· Streamline decision-making processes by organizing critical information for executives.

· Navigate the complex landscape of laws, regulations, and policies with occasional support from our Corporate Lawyers.

· Own the timely completion of NDAs, Terms & Conditions, and certifications, including those from WBENC, WOSB, and Bay Area Green Business.

· Dive into special projects identified by the President and the Board of Directors, leading them to success.

· May represent the company in the absence of our President or executive team at meetings and public events.

· Embrace the occasional travel to support meetings or events hosted by the President.

· Minimum of 3-5 years of relevant experience necessary

· Proficiency in project management is essential, PMI certification is a plus.

· Holds Notary Public status

· Comfortable with technology, with a high proficiency level

· Capable of multitasking and managing competing priorities effectively

· Demonstrates strong judgment and decision-making skills

· Possesses solid technical skills, particularly in Microsoft Office applications

· Exceptional verbal and written communication abilities are imperative

· Detail-oriented and naturally inquisitive
