Job Description

As Client Service Coordinator for UTA Executive Search you are responsible for managing the end-to-end candidate process for our Blue Chips Clients, the scope of work ramps from scheduling candidates, building progress reports, creating job descriptions as well as managing client relationships while ensuring the interview process is seamless.

The salary range for this role is $85,000 to $95,000 commensurate with experience and skills.

In this role you'll
  • Develop effective communication for our clients, internal team and support our Executive Search Co-Heads with relevant information prior to their calls / meetings.
  • Assist the Director, Executive Search Operations with day-to-day needs, special projects and events.
  • Facilitate Search process by scheduling meeting/calls and coordinating client meetings/candidate interviews.
  • Maintaining event timelines and checklists.
  • Coordinate Business Travel arrangements as needed.
  • Deal with client requests and maintain client satisfaction and loyalty through proactive thinking and relationship management.
  • Conduct initial and weekly Client search reports, job descriptions, audits as well as formatting candidate resumes.
  • Assist senior leadership in the tracking of outreach to candidates through our ATS (Applicant Tracking System). Maintain and update databases, ensuring accurate and current information.
  • Responsible for crafting tombstones (candidate placement announcement) and breakdowns (letters to candidates that didn't move forward)
  • Coordinate logistics for Executive Search events.
  • Identify areas for improvement in operational processes and suggest and implement solutions.
What you'll need

In terms of personal profile, the ideal candidate will be highly intelligent, detail oriented, affable and well rounded. This is a fast paced, collaborative, team-oriented, professional services environment that will demand those same characteristics. A strong sense of curiosity and an ability to ask questions thoughtfully and thoroughly. Analytical mindset with the ability to identify and solve problems. Strong organizational, analytical, detailed planning and project management skills. A willingness to learn and adapt in a dynamic work environment but also be creative and able to think on your feet. Ability to maintain confidentiality and handle sensitive information with discretion. Well-developed conceptual skills with the ability to synthesize information quickly. Excellent communication and writing skills as well as a master at multi-tasking due to the nature of a high-paced environment. Must have a minimum of 4 years of experience in coordinator position or position of the like to apply.
