Job Responsibilities

-Protecting God’s Children Coordinator. Make sure that all volunteers are in compliance with the program.
-Thank you letters for donations.
-Work on the Gala Committee.
-Creating a mail merge for the Gala Thank You letter.
-Creating and maintaining a budget.
-Manage the custodial staff.
-Creating business office related reports.
-Create an analysis regarding purchasing plan.
-Develop a relationship with vendors to ensure best purchasing practices.
-Reconcile credit card and purchase statements from each building.
-Paying Bills, making sure product was received and coding to correct chart of account number.
-Sam’s credit card when bill comes in reconcile the statement with the receipts that I receive.
-Bank Statements, check to be sure that all the deposits and checks that are written on ANN, OLP & SMA, Early Childhood accounts are in Quickbooks. Main checking account, make sure that any automatic withdrawals are accounted for and any deposits.
-Registration, maintain spreadsheet of all registrations and the tuition and any scholarship for each family. Post the tuition and scholarship on SmartTuition. Send to SAS ? tuition less any scholarship awards and check to make sure everything is posted correctly in Quickbooks. Weekly send any Smart payments to SAS Monitoring Tuition payments and contacting families when they are behind.
-Depositing money and crediting each account accordingly ex: field trip money, fundraising money, after care, lunches and tuition.
-Maintaining Personnel records. Making sure that when an employee is eligible for the retirement benefit that they receive the benefit. Adding employees who are interested in health insurance to the program. When an employee leaves, they are removed from the health insurance and the retirement program.
-Payroll collect time sheets and total hours add to spreadsheet for SAS after SAS runs payroll double check to make sure everyone has the correct amount.
-After School Care Program post weekly charges and any payments received
-Working in the FACTS system; registration and enrollment
-Milk report for Government.
-Teacher and Staff Contracts: Issue a new contract along with the Total Compensation and with the other forms from the Catholic Ed. Office to each teacher, staff member and administrator. Term agreements for other employees.
-Answering the phone and directing calls
-Risk Management: Workman's comp report and Incident reports.
-Help with preparing the yearly budget.
-Handling phone or internet problems
