The Patient Registration Supervisor is a working role that provides face to face services to patients and visitors and supervises front desk staff at multiple locations. This role is also responsible for supervision of the daily operations and staffing of the Front Desk department (11 staff) and providing clear communications, training, and performance expectations. In addition, they assist the Office Administrator with the hiring, employee touchpoint discussions, and addressing performance issues. This position will also work with Management team and other business office on the development of effective policies and procedures that assure regulatory compliance and make recommendations on programs and processes that will improve billing accuracy, identify efficiencies, and increase co-pay processing and prepayment of scheduled surgeries. This role also serves as a liaison to respond to patients concerns/complaints.
• Add/modify the provider database in NextGen, as needed, to ensure accurate tracking of referring providers
• Frequently clean front office lobby areas to ensure a sanitized, organized lobby and ensures the daily opening and closing protocols of reception areas are followed/completed
• Ensure all petty cash procedures are followed
• Provide supervision and training of the daily operations of the Front Desk at all office locations, including remote and satellite locations
• Manage daily flow of the Front Desk department, address daily issues, staffing concerns and respond to patient complaints
• approve and complete timecard updates and Staff Out of Office (PTO) requests
• evaluate current processes and provide recommendations for improvements and oversee implementation
• Develop, maintain, and update departmental policies and procedures as well as a training manual to aid in ensuring all front desk staff are performing at a consistent and accurate level
• Participate in the interviewing/hiring of staff and manages the onboarding process of new hires
• Serve as patient liaison with Business Office, responding to patient questions and concerns. Lead and assist with special projects regarding the revenue cycle management, i.e., insurance and claim issues
• Knowledge of medical insurances is necessary to ensure accuracy in verifying and entering billing information and to assist in knowing if referrals are needed for the office appointment
• Lead and oversee the training schedule of new front desk personnel; identify/oversee training needed for the team as a whole
• Lead/attend regular staff meetings and employee one-on-ones
• Encourage and maintain a positive working environment ensuring all staff members function as a team
• Create positive impressions and experiences for patients and staff by being calm, professional, and communicating with knowledge and compassion
• Communicate on a regular basis with the Office Administrator ensuring all issues/concerns are communicated in a timely matter
• Address software issues from staff, including NextGen (EPM) and Entrada. Partner with IT staff to resolve if necessary
• Coordinate the upgrades with NextGen in conjunction with Clinic and Office Administrators
• Become proficient with running and analyzing data from Company's Data Warehouse and (BBP) reports from NextGen
• Support the staff ensuring highest level of patient satisfaction
• Coordinate patient relations, ensuring a high quality of patient service is delivered
• Maintain strict confidentiality and adherence to all laws and regulations applicable to the position, including HIPAA Lead and oversee the training schedule of new front desk personnel; identify/oversee training needed for the team as a whole
• Participation in educational activities and staff meetings
