Administrative Assistant

- Tracking: Meticulously track book progress through each stage: acquisition, development, editing, design, production, and author delivery.
- Contracts: Assist with contracts by translating editor negotiations into contract forms, managing DocuSign processes, and inputting finalized terms into databases (experience with DocuSign and Adobe Acrobat a plus).
- Communication: Facilitate smooth communication and collaboration between authors, illustrators, copyeditors, designers, translators, and the production team at Chronicle (LQ's distributor).
- Administrative Support:
- Maintain a comprehensive calendar for the Editor-in-Chief ensuring appointments and deadlines are clearly documented.
- Manage travel arrangements for key staff members: EIC, Marketing Director and Executive Editor
- Order essential office supplies and maintain inventory: including business cards.
- Assist with EIC’s expense report and documentation.
- Exceptional organizational skills and the ability to manage multiple tasks efficiently
- Familiarity with Zoom and Google Workspace
- A love of books and reading
- Prior experience with editorial workflow preferred
- Willingness to work in-person at our Hoboken, NJ office
