We are currently recruiting for a Personal Assistant in Manhattan, NY. This is a full-time permanent role. This position requires 5 days of on-site duties.


****This is NOT a remote or hybrid role.


Compensation included base salary plus 100% medical insurance coverage and 99% dental/ vision insurance coverage (employee only).


Responsibilities

  • Manage calendar related to various professional and personal projects and engagements
  • Send calendar invites, book rooms, and ensure correct dial-in/contact numbers
  • Verify meeting locations amidst a fast-paced and dynamic environment
  • Manage complex personal and business travel itineraries – international and domestic
  • Manage ground transportation, hotel accommodation, and visas
  • Coordinate and manage all medical/healthcare appointments
  • Oversee the management of insurance payments
  • Coordinate errands for prescription pick-ups
  • Act as primary gatekeeper and liaison for the private household
  • Manage house managers, vendors, invoices, renovations, and home improvements
  • Coordinate automobile insurance, registrations, inspections, and leases
  • Manage document flow, and maintain a streamlined filing system (both digital and paper filing
  • Organize confidential/sensitive financial and legal documents
  • Act as liaison with companies relating to board positions, advisor positions, and investments
  • Research and outreach to identify and make introductory contact with potential partners and/or vendors for various project initiatives
  • Personal Expirations and Renewals Management (Memberships, IDs, credit cards)
  • Note-taking for internal and external meetings
  • Errands for coffee, lunch, prescriptions, light shopping, etc.
  • Provide organized infrastructure support
  • Manage task lists and provide daily end-of-day reminders
  • Maintain important foundational documents
  • Update spreadsheets, contact database, project management software, handbooks, etc.
  • Assist with various personal research for homes, offices, and life

Qualifications

  • 3+ years of previous personal assisting experience
  • Previous experience managing health/medical appointments
  • Previous experience with calendaring and travel arrangements
