SUMMARY OF DUTIES AND RESPONSIBILITIES:

Responsible for all data management and office and administrative assistance for the Development department.

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Process and record all donations daily (cash, check, online, EFT, stocks, gifts in kind, ticket purchases) in compliance with ECS Gift Processing policy utilizing Raiser’s Edge fundraising database software.

2. Produce donation acknowledgements daily; maintain and update donor records and ensure quality and integrity of all donor/prospect data.

3. Demonstrate personal initiative to establish effective and efficient office systems and procedures (, electronic filing, workflows).

4. Generate complex custom queries and reports from Raiser’s Edge as needed. Design and program reports to meet the information needs of the department.

5. Reconcile Raiser’s Edge records with Controller’s General Ledger accounting monthly; provide support and documentation to Finance regarding donations and donors.

6. Support the Senior Director of Development and Major Gifts Officer in major gift activity including prospect research and tracking the solicitation pipeline progress to goals.

7. Develop meeting briefings and agendas.

8. Respond to telephone and email inquiries with tact and professionalism and refer to appropriate staff.

9. Provide general office support and administrative assistance to the Development department staff including filing and receiving in-kind donations.

10. Assist with volunteer coordination and event needs as requested by the Development team.

11. Perform additional responsibilities as necessary.

Qualifications

REQUIREMENTS:

· Experience working within and/or maintaining a database; Raiser’s Edge experience is a plus

· Strong computer skills; proficient in Microsoft Office for Windows programs

· Project management experience

· Excellent verbal and written communications skills

· Detail-oriented with strong organizational skills

· Professional telephone manner, ability to interact with donors and others in a comfortable and professional manner

· Ability to handle confidential and sensitive materials professionally and according to agency policy

· Commitment to the mission of ECS and sensitive to the population served and challenges faced by staff

· Cultural competency working with a mixed and dynamic workforce

· High School diploma or equivalent (GED) required. Bachelor’s Degree from an accredited college or university preferred, or equivalent development and database management experience

· A positive attitude, excitement for the work of fund development, being open to learning new skills, and the feeling that nothing in this work is beneath you are integral skills for all members of our development team

OTHER: Must secure figure image screening and annual TB screening as a condition of employment. Must be able to meet physical requirements of the position, which may include long periods of sitting at a desk and/or computer station; lifting items that weigh up to 40 pounds; and reaching, bending, and stooping within the daily routine of task and activities. Will honor and abide by the rules of confidentiality.
