The Watermark Data Entry Specialist for Faculty and Affiliates is responsible for accurately and efficiently entering and maintaining data related to faculty and affiliates into the Watermark system. This role is critical in ensuring the integrity and quality of data used for academic reporting, assessment, and accreditation purposes. Minimum Qualifications High school diploma and 1 year of work experience in an office setting, or an equivalent combination of education, training and/or experience. Preferred Qualifications Associate Degree, 2 years work experience in an office setting, 
Prior experience in data entry, data management, or administrative support, preferably in an academic setting at minimum 2 years. Experience with Watermark or similar academic data systems is highly desirable. Knowledge/Skills/Abilities Data Entry: Ability to accurately input and update data into the system, including but not limited to personal details, academic qualifications, publications, research activities, and other relevant data.
Data Quality Assurance: Ability to verify the accuracy and completeness of data entries by conducting regular quality checks and audits.
Technical Skills: Proficiency in using data management systems and software
Attention to Detail:Exceptional attention to detail
Communication Skills : Strong verbal and written communication skills for interacting with faculty, affiliates, and staff.
Organizational Skills: Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.

Data Maintenance : Update and maintain records to reflect changes in faculty and affiliate information, as requested by faculty/profile holders. Collaboration: Work closely with faculty, affiliates, and other departments to gather necessary information and ensure timely data entry. Compliance: Ensure data entry practices comply with institutional policies and data protection regulations. Provide support and coordination for USC SOMG related to Watermark Data Entry. Assisting faculty in creating comprehensive, consistent, and searchable activity profiles to adequately collate teaching, academic, and community SOMG endeavors. Efficiently capture, confirm, and report faculty credentials for use in assessment, promotion, and accreditation. Create an enduring process to keep data current and updated daily by pulling from multiple sources, including CV imports, publication databases and direct faculty engagement. Coordinate, support, track, and review progress. This includes but is not limited to creation and editing of documents, materials, and presentations; keeping key stakeholders informed of deadlines and adjustments including regular check-ins, documenting of changes, sharing of updates, and tracking progress. Gathers, enters, and/or updates data to maintain departmental records and databases. Establishes and maintains files and records. Assists in the management of due dates for various report, surveys, and responses. Always maintains confidentiality of records and information. Keeps key stakeholders informed of deadlines and adjustments. Essential Function Yes Percentage of Time 50 Job Duty MANAGING AND REPORTING:

Assist in generating reports and data extracts for academic reporting, assessment, and accreditation processes.
Schedules and coordinates appointments of sessions inclusive of planning and end reporting. Drafts written documentation and correspondence for the office, screens and evaluates incoming and outgoing correspondence, and prepares responses as appropriate. Organizes materials, and compilation and timely distribution of data entry on behalf of management. Constant contact with various stakeholder groups, students, faculty, staff, institutional and administrative offices, and other similar agencies. Gathering information to establish or correct information entered timely into the database. Always keeping information confidential. Training and Support: Provide training and support to faculty and affiliates on how to use the Watermark system for data entry and management.
