Job Description:

The University of Florida’s Division of Enrollment Management is seeking an experienced and dedicated Finance Manager to oversee Finance Operations for the division. This is an exciting opportunity to make a significant impact by leading a team of talented accountants and transaction specialists responsible for the division's financial success.

The ideal candidate will ensure timely, precise approval of fiscal transactions, create insightful financial reports for leadership, and manage diverse funds, including state appropriations, operating funds, federal grants, scholarships, and foundation accounts. Your expertise in budget analysis, revenue/expenditure projections, and accounting will be key to maintaining our financial stability. Additionally, you will provide essential fiscal guidance and ensure compliance with university and state fiscal policies.

Key Responsibilities:

Finance Team Management

Manage the daily operations of the Finance team, ensuring efficiency and alignment with strategic goals. Provide leadership in supervising, recruiting, training, and evaluating accountants and transaction specialists to maintain high standards of performance and expertise. Serve as a primary representative of the Finance team, fostering collaboration and effective communication within the division and across campus. Approve fiscal transactions, including deposits, purchase requisitions, travel requests, expense reports, payment of invoices, and PCard transactions, ensuring accuracy. Manage state appropriations, operating funds, federal grants, scholarships, and foundation accounts in collaboration with the Finance Director. Conduct comprehensive budgetary analyses, develop revenue and expenditure projections, and meticulously monitor account balances and expenditures to ensure fiscal health and compliance. Ensure appropriate accounting practices are followed. Oversee the reconciliation of departmental financial reports monthly to ensure accuracy and compliance. Provide fiscal guidance to division and unit management with periodic analyses, reports, and projections. Oversee the administration of federal grants and coordinate the submission of annual operating budgets.

Student Financial Aid Management

Oversee the management of student financial aid funds with meticulous attention to compliance. Routinely review scholarship and financial aid funds from federal, state, and institutional aid programs administered by Student Financial Aid & Scholarships. Supervise compliance with program matching requirements or other program mandates, monitoring for under- or over-utilization, appropriate cash management practices, and completing federal, state, and institutional reporting requirements. Collaborate with university budget personnel, Contracts & Grants, Procurement, Finance and Accounting, the CFO Office, Academic Affairs, and other relevant stakeholders. Ensure adherence to university and state fiscal policy/regulations, interpret these policies, and recommend division policies and procedures as appropriate.

Security Access

Coordinate division security access in myUFL via roles and row-level requests. Review security access requests for appropriateness and compliance with policy.

Other Duties

Perform other duties as assigned to enhance team effectiveness and overall success.

This position is located at the University of Florida's main campus in Gainesville, FL and may be eligible for a flexible, hybrid work arrangement in accordance with the University of Florida and Division of Enrollment Management's policies.

Minimum Requirements:

Bachelor's degree in an appropriate area and six years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications: Excellent analytical, verbal and written communication skills. Knowledge of federal and state laws and university regulations pertaining to accounting, fiscal management, and other relevant topics. Ability to prepare, present, coordinate, and monitor all federal, state, and university funding received by the division. Ability to design and implement accounting systems as well as analyze and interpret data. Strong interpersonal skills and a demonstrated ability to work collaboratively. Proven ability to effectively lead and manage a team. Must have substantial expertise relevant to the use of computers and appropriate software. Knowledge of fiscal accounting functions and processes. Ability to work independently, exercise good judgment, and work with minimal supervision. Must be able to handle the pressures of a high-volume, multi-faceted job assignment where excellent customer service, attention to detail, accuracy, and timeliness are critical.
