JOB SUMMARY:

 

Sandin Law is seeking a customer service-oriented Legal Administrative Assistant to provide support and administration to a team of attorneys and paralegals engaged in practices of estate planning, probate, trust administration, estate litigation, guardianship and conservatorship proceedings, business planning, and real estate. 

 

The ideal candidate is a team player who shares our desire to deliver an outstanding experience for our clients while helping the internal office to run smoothly.  Since this position involves frequent communication with all employees and our clients, we desire a friendly, confident, and courteous candidate with excellent written and verbal communication skills. The ideal candidate will exhibit competence, integrity, and professionalism with our clients and their colleagues.

 

ESSENTIALS FUNCTIONS:

 

  • Office/Team Support
    • Responsible for answering incoming calls, screening and directing the call, or taking messages with excellent customer service.
    • Serve as a welcoming and professional first point of contact for office visitors.
    • Manage, organize, and analyze a broad range of information, including sensitive data, ensuring accuracy and confidentiality at all times.
    • Develop and oversee databases and filing systems in paper and electronic formats, implementing improvements to increase efficiency and accessibility as needed.
    • Regularly update our Customer Relationship Management (CRM) system with new leads and contacts, ensuring accurate and timely data entry.
    • Draft, finalize, and send engagement letters and legal correspondence to clients and partners, maintaining professionalism and adhering to internal and legal standards.
    • Design and manage task templates for various business matters to enhance productivity and workflow.
    • Assist with administrative marketing tasks.
    • Responsible for opening and closing the office, including making coffee, refilling copier paper trays, restocking water and other beverages, and ensuring all areas are neat.
    • Run business-related errands as necessary.
    • Other administrative tasks as assigned.
  • Accounting Support
    • Assist with accounts receivable, including processing, collections, and any necessary investigations to ensure financial accuracy.
    • Support the accounts payable process by verifying invoices, resolving discrepancies, and facilitating payments.
    • Assist with invoicing clients, ensuring accuracy and adherence to payment terms and conditions.
    • Perform other finance-related duties, as assigned, to maintain smooth and efficient operations.

  • Proven ability to provide an exceptional service experience to our clients
  • Ability to quickly transition between tasks as needed (multitasking) and balance shifting priorities
  • Ability to work well independently, as well as adhere to directions from the team
  • Keen attention to detail and highly organized
  • Strong verbal/written communication skills with ability to communicate effectively in a polished, professional, and friendly manner
  • Desire and flexibility to contribute to a fast-paced team and company
  • Self-motivated and able to regularly complete repetitive, scheduled tasks
  • Ability to understand and adhere to strict confidentiality standards

 

QUALIFICATIONS:

 

  • Bachelor's Degree in Business or related discipline preferred
  • 2+ years of relevant experience in a professional office environment
  • Experience with Microsoft Office Suite (Word and Excel preferred)

 

WORKING ENVIRONMENT:  The majority of work is performed in a professional office setting with interaction with a wide variety of people with differing functions, personalities, and abilities.
