As a Regional Office Administrator (ROA), you will provide administrative support to senior leaders in an environment with constant change and a broad scope of "customer" requests and needs, while exercising integrity when working with sensitive/confidential information.

These responsibilities include some of the following…

Employee Processes /Transactions

Manage and process transactional employee changes ensuring coordination within multiple internal systems and departments utilizing internal software. (new hires, onboarding, resignations/terminations, promotions, transfers, job changes, and training)

Meeting Management

Follow processes and guidelines for Meeting Management, Catering and T&E reconciliation. Initiate, manage, negotiate and secure vendor/hotel sites/contracts, and group travel arrangements as well as plan and coordinate agenda/activities.

Calendar Management

Manage FVP calendar to optimize time and prioritize activities, identify conflicts and maximize effectiveness.

Manage FVP Travel

Book flights, hotel, ground transportation.

Expense Management

Prepare and submit expense reports on a timely basis.

Other Capabilities

Team player. Strong organizational and listening skills. Ability to act independently. Computer Skills: Knowledge of Microsoft Office (Word, Excel, Power Point, Outlook, OneNote, OneDrive), MS Teams, Workday, Workplace and other collaboration tools, Concur, vAlign, ServiceNow, and Fiori. Project Management: FVP/Sales endorsed projects aligned to Area performance and/or development. Resilient individual who can work with little supervision, prioritize workload while maintaining a calm and professional manner, thrives in a fast-paced/changing environment while demonstrating attention to detail. Provide administrative support for other FVPs as needed during ROA team member vacations or high workload.

Basic Qualifications:

High School diploma or equivalent experience. 5+ years in supporting senior level leaders and various external partners. Strong collaboration and relationship building skills. A team approach with other admins, personable, high EQ with impeccable integrity. Discretion and confidence to work with people at all levels, internal and external. Limited travel may be required.

Preferred Qualifications:

Associate Degree In depth knowledge of GSK practices and processes.
